Summary

Job Summary: Change Systems Officer at HMPPS - Probation Service Band 4

Position Overview:

The Change Officer - Systems role is pivotal in supporting the management and optimization of change systems within His Majesty's Prison and Probation Service (HMPPS). Focusing on providing change and process management tools and services, facilitating change initiatives within the organisation. They will play a key role in driving process improvements, leveraging the Power Platform, and other digital systems, ensuring effective change and process management practices. Change Systems is a national team with tools deployed to support the whole of HMPPS and therefore there is an expectation that travel across the country may be required including some overnight stays.

Key Responsibilities:

• Team Management: Provide line management and support to team members, including performance reviews and professional development.
• Process Management: Support the delivery and management of the HMPPS EQuiP Process Management System. Identify, analyse, and optimize organisational processes to enhance efficiency and effectiveness. Implement process improvement initiatives to support HMPPS objectives.
• Change Management: Support the delivery of HMPPS Gateway Management System. Support change management initiatives by facilitating communication, training, and stakeholder engagement activities. Ensure smooth transitions during organisational changes and promote change adoption across the organization.
• Power Platform Utilization: Leverage the Microsoft Power Platform to develop and implement digital solutions that support change management efforts. Utilise Power Apps, Power Automate, and Power BI to streamline processes and improve productivity.
• Stakeholder Engagement: Engage with key stakeholders at various levels of the organisation to promote change systems and communicate effectively through the change process. Understand their needs, gather feedback, and ensure alignment with change objectives. Build strong relationships to drive collaboration and support change and business process initiatives. Facilitate process capture workshops and deliver training and briefings, both remotely and in person.
• Customer Service: Provide high-quality customer service to internal and external stakeholders, addressing inquiries, resolving issues, and ensuring satisfaction with change and process management services.
• Continuous Improvement: Drive a culture of continuous improvement within the Change Systems team, seeking opportunities to enhance processes, systems, and service delivery.
• Compliance: Ensure compliance with relevant regulations, policies, and standards, incorporating compliance requirements into change management processes and systems.
• Accessibility: Ensure that change management systems and processes are accessible and user-friendly for all stakeholders, including individuals with disabilities.
• MI Data Reporting: Manage and analyse Management Information (MI) data related to change management activities and process improvements, providing insights and recommendations to support decision-making.

Experience:-

• Process Management and Power Platform experience.
• Must have experience of working within complex organisations.
• Experience of implementing quality assurance frameworks and continuous improvement strategies.
• The post holder will need to have been involved in large scale complex change initiatives within large unionised organisations.
• Must have highly developed ICT skills across the full range of Microsoft Office applications.
• NVQ Level 4 or equivalent in a relevant subject (or appropriate practical experience)

Technical:-

• Experience with Microsoft Power Platform, Microsoft Project for the Web, and Process Management Systems.
