We are seeking a highly organised and detail-oriented Facilities Compliance Administrator to provide comprehensive administrative support across residential services and Planned Preventive Maintenance (PPM) activities.

This role is pivotal in ensuring compliance, operational efficiency, and accurate record-keeping while supporting contract management and maintenance activities.

Job Description

You will work closely with suppliers, engineering teams, and internal stakeholders to manage daily reports, track tasks, and assist with escalations.​

The position also involves updating CAFM systems, monitoring outstanding jobs, and supporting the Out-of-Hours (OOH) rota when required.​

This is an excellent opportunity for someone with strong administrative skills and a keen eye for detail to thrive in a fast-paced environment.

Key Responsibilities

Support contract management to ensure property compliance and regulatory standards.

Manage residential services administration, including job tracking and system updates.

Assist with escalations by compiling timelines, monitoring progress, and ensuring resolution.

Plan and schedule PPM activities, ensuring timely completion and adherence to deadlines.

Update CAFM and other systems with accurate job data and quality check details.

Monitor outstanding tasks and PPM completions, chasing suppliers and escalating issues.

Collaborate with internal teams and suppliers to ensure effective communication and site access.

Professional and Personal Competencies/Qualifications

Excellent communicator with the ability to build strong relationships quickly.

Reliable, committed, and proactive in delivering exceptional support services.

Strong attention to detail and ability to work independently.

Previous administration experience.

Proficiency in Microsoft Office applications, particularly Excel and Word.

Experience with CAFM systems is advantageous.
