We are seeking a highly organised and detail-oriented Technical Administrator to provide essential administrative support for projects. You will also assist the Facilities Manager in delivering both Reactive and Planned Preventative Maintenance (PPM) services.
This role is pivotal in ensuring smooth operations, compliance, and effective communication across teams and stakeholders.
Job Description
The successful candidate will play a key part in scheduling, documentation, and compliance activities, while building strong relationships with site contacts and suppliers.
You will contribute to audits, ensure data accuracy, and support performance improvement initiatives in a fast-paced environment.
Key Responsibilities
Build and maintain effective relationships with key stakeholders, including site-based contacts and suppliers, to support PPM and reactive workload delivery.
Schedule all planned and reactive maintenance inspections in a timely and accurate manner.
Support Facilities Manager and engineers by verifying task completion dates and ensuring accurate record-keeping.
Identify documentation gaps and assist teams in gathering data to meet compliance requirements.
Manage shared inboxes, ensuring timely and professional responses to queries.
Conduct internal audits and compliance checks in line with the quality and sampling strategy.
Record and monitor compliance and audit results to drive continuous performance improvement.
Assist in maintaining master contact lists to mitigate risks and ensure business continuity.
Complete ad-hoc administrative tasks as requested by the Facilities Manager.
Professional and Personal Competencies/Qualifications
Excellent numeracy and literacy skills.
Meticulous attention to detail.
Ability to work with varied data sets and systems to provide a comprehensive performance overview.
Previous experience in quality, compliance, and administrative support.
Strong team player, adaptable to a fast-paced and evolving environment.
