Galliard Estate Management (GEM) is our in-house property management business, responsible for managing over 35 developments across a diverse portfolio of residential and mixed-use schemes, from high-rise to high-end, covering both private and affordable properties.
The Position
We are seeking a proactive and organised Assistant Property Manager to join our Galliard Estate Management team based at our New Capital Quay office in Greenwich. Reporting to the Senior Property Manager, you will work closely alongside a Property Manager and a Property Administrator to ensure the smooth and efficient management of a diverse portfolio of mixed-use developments.
This role is pivotal in supporting both day-to-day operational management and longer-term strategic initiatives, with responsibilities spanning resident engagement, compliance, maintenance, and service charge administration. You will act as a key point of contact for residents, contractors, and internal stakeholders, helping to deliver a high standard of service across the portfolio while supporting the Senior Property Manager in achieving overall portfolio objectives.
Please note that this is a full-time, office-based role. Standard working hours are Monday to Thursday, 9:00am to 5:30pm, and Friday, 9:00am to 5:00pm.
Duties include but are not limited to:
- Support the day-to-day management and maintenance of leasehold properties.
- Assist the Property Manager, Senior Property Manager, and the Head of Property with a range of property management tasks.
- Support the project management of Section 20 consultations and major works, liaising with surveyors and consultants as required.
- Maintain accurate electronic records and ensure data, correspondence, and compliance documents are updated.
- Respond to email and telephone enquiries from lessees, subtenants, contractors, and residents, ensuring information is shared appropriately.
- Assist with site visits to ensure buildings are well-maintained and complete inspection reports.
- Ensure insurance claims are being processed efficiently and correctly in conjunction with the wider property management team.
- Draft and review resident communications, including newsletters and circulars, ensuring accuracy and consistency.
- Liaise with contractors to arrange repairs, cleans, and emergency works, attending appointments where required.
- Maintain and update the approved contractors list and support procurement processes.
- Manage the purchase order system, ensuring all expenditure is supported by a works order and is recorded.
- Upload compliance documentation to Quooda and monitor updates.
- Act as a first or secondary point of contact for staff and resident enquiries across sites within the team portfolio.
- Support monthly resident surgeries on site, working alongside the Property Manager and Senior Property Manager.
- Collaborate with property management colleagues and the accounts team on service charge budgets, reconciliations, and payments.
- Provide support across the Property Management team as required, assisting with any tasks, projects, or initiatives to ensure the smooth running of the portfolio.
The Person
The ideal candidate will be an organised, confident, and service-driven property professional with experience in residential or mixed-use developments. You’ll thrive in a busy, customer-focused environment and be comfortable liaising with residents, contractors, and internal teams. You will also be able to meet the below criteria:
Essential:
- Understanding of new-build residential and mixed-use developments.
- Previous experience as an Assistant Property Manager, Property Administrator, or similar.
- Strong understanding of relevant leasehold legislation and the Landlord & Tenant Act.
- Awareness of budgets and accounts, including utility billing and apportionment.
- Excellent communication skills across face-to-face, telephone, and email interactions, with a professional approach.
- Ability to build and maintain strong working relationships with residents, contractors, and stakeholders.
- Proficient in basic Microsoft packages including Word, Excel and Outlook with the ability to learn new systems as needed.
- Exceptional administration skills with attention to detail and accuracy.
- Strong organisation, prioritisation, and time management skills.
Desirable:
- TPI Level 2 Foundation in Leasehold Management or TPI Level 3 Associate in Leasehold Management (ATPI) or currently working towards.
- Experience managing multi-schedule budgets.
