Job Opportunity: Timetabling Coordinator



Location: Nottingham City Libraries



Department: Communities, Environment & Resident Services – Culture and Libraries



Salary: Grade D £26,824 - £27,694 per annum (pro-rata for part-time)



Contract Type: Hybrid (Work-based & remote working)



Hours: Part-time (pro rata), including early mornings and some Saturdays.

About the Role



Are you a highly organised individual with a knack for scheduling and coordination? Nottingham City Libraries are seeking a proactive and detail-oriented Timetabling Coordinator to ensure our libraries are fully staffed and running smoothly.



In this pivotal role, you’ll be responsible for managing the timetables of front-line staff across our library network. You’ll work closely with Customer Service Managers, the Volunteer Coordinator, and other stakeholders to plan for scheduled leave, respond to unplanned absences, and ensure adequate staffing for events, training, and peak periods.



Key Responsibilities



  • Lead the scheduling of permanent and casual staff across all library sites.

  • Manage absence reporting systems and provide swift cover solutions.

  • Collaborate with the Volunteer Coordinator to maintain volunteer timetables.

  • Provide Saturday cover on a rota basis to manage absence calls.

  • Communicate effectively with staff and managers about timetable changes.

  • Support volunteer recruitment and onboarding.

  • Supervise and identify training needs for staff and volunteers.

  • Ensure compliance with data protection, equality, and health & safety policies.
