Summary
Are you ready to take on the challenge helping to shape a brand new team within the busy Parliamentary and Disclosures Branch in Kentigern House?
This role is new to the organisation and presents an opportunity to introduce and support new ways of working which impact the whole branch. You will share line management responsibilities for a team of 12 alongside another Executive Officer. Your team will be the gatekeeper and controller of all correspondence and requests into the branch, allocating work and dealing with customer queries and complaints.
The team has undergone an enormous amount of change over the last 12 months and we are now ready to consolidate our digitised position by developing our ways of working. In addition, legislative guidance is continuing to change and we have various workstreams which will require additional attention and project work over the next 12 months.
Key responsibilities:
Working with the Triage manager to support the Parliamentary and Disclosures Team to efficiently deliver accurate work, on time and within current legislative and regulatory parameters.
Leading in a way which motivates and engages your team and ensures they have the opportunity to develop their potential.
Promoting our culture of inclusivity and diversity which is trusting and empowering and encourages change.
Responsible for the day to day management of the Triage team you will be the central Hub of the Branch, identifying workstreams and allocating work to other teams.
Using strong Leadership and interpersonal skills to lead a team of 6 AOs (Admin Officers) and 6 AAs (Admin Assistants), building on the multi-skilling initiative across the branch.
Day to day HR and Line Management responsibilities for the Triage team.
Maintain and monitor the Triage team to ensure the best support is identified and delivered to the other Disclosures Cells to deliver an in time and accurate response to queries.
Drive for continuous improvement by continuously reviewing working practices, workload and responsibilities within Triage making best use of available resources to meet DPA/FOI (Data Protection Act/Freedom of Information) requirements and changing business needs. Support the implementation of changes identified from Disclosures audits, Monthly reports and team briefings, new CIO (Chief Information Officer) policy and protocol, customer complaints.
Seek out opportunities to improve performance through product, people or best practice.
Deal with relevant complaints from customers and escalate where appropriate.
Lead the Rectification of Documents cell.
Contribute to success by inclusion in Team Meetings and wider briefing sessions and play an active role in creating the team culture through proactive engagement in team activities.
Produce accurate statistics, reports and briefs when required.
Deputise for Triage HEO (Higher Executive Officer) and provide cover for others when required.
To undertake any other tasks, which are reasonable for the grade, within the competence and ability of the job holder as directed by the line management chain.
