Summary

We are seeking a Senior Administrator to join our team. The ideal candidate will be responsible for overseeing the administrative operations within the organisation, ensuring efficiency and effectiveness in all administrative tasks.

Position: Senior Administrator (including Coordinator responsibilities) for Eastleigh Branch

Responsible to: Registered Manager and Operations Director

Purpose of Position:

To provide administrative support for the office team.
To be a positive and friendly image to our staff and other professionals who may contact us either in person or via the telephone.

Principal Responsibilities: Administration

Ensuring that all employee files are compliant at all times, including the use of Live Monthly reports and in line with relevant legislation
Ensuring that new starters have relevant information and paperwork prior to commencing employment
Ensuring that training is booked for new and current employees in line with company policies and relevant legislation and in partnership with the compliance team.
Ensuring that employees are booked in for regular Supervision meetings in partnership with relevant Field care Supervisor, ensuring that CH and company calendar is updated accordingly, and that appropriate paperwork is provided to the Field care Supervisor
Management of office administration and clerical processes and procedures including archiving and disposing of confidential waste.
Answering and processing telephone queries/requests. Diverting callers as appropriate, and/or taking and passing on messages.
Filing all staff and service information in electronic record and/or paper records.
Maintaining staff and client electronic records. Accessing information when required.
Able to take minutes at meetings.

Additional Responsibilities: Coordinator team support

To undertake training on IT systems as deemed necessary for the role and to be able to assist with Coordinating.
Booking new staff onto shadow shifts in liaison with the Care Coordinator

Miscellaneous Responsibilities:

Any other duties as requested by the Directors or Office Managers.
Person Specification

Essential to have experience in an administrator role or similar.
Desirable to have some knowledge of the Care and Support industry.
Must have excellent computer skills.
Attention to detail.
Self-Motivated.
Organised
Flexible.
Good Team Worker.
Able to work under own initiative and prioritise workload.
Good Communicator.
Have an understanding of a needs-led outcomes-based service.
Committed to quality care and services provision.
