The role:

We’re seeking a skilled and proactive administrator to provide vital secretarial and administrative support to the Social Work, PSO, and management teams to implement procedures and safeguarding to ensure outcomes are met regarding the protection and safety of vulnerable children and young people within borough.



Key responsibilities:

Serve as the first point of contact for the Integrated Front Door team, handling sensitive enquiries, verbally and in writing, and providing consistent, confidential advice in line with policies and data protection laws
Consistently produce and gather accurate, sensitive information from child records for MARAC, CSE ops, and Channel Panel meetings, liaising with social workers and escalating non-responses to management
Respond to statutory requests from other departments by preparing confidential and sensitive reports and chronologies for legal proceedings, summarising children’s services involvement, and coordinating documentation for court as required
Take minutes for various meetings, often involving sensitive and distressing information related to children and families
Manage and accurately record transactions and invoices for the Purchase Card account, any expenditure and equipment and stationery purchases ensuring financial compliance and proper coding with a VPC or the Oracle financial system for year-end reporting
Manage off-site storage of highly sensitive child protection records and supervise external Local Authority staff accessing these files
Support the SharePoint Social Worker by maintaining accurate client records, uploading relevant documents, creating new child and family records, and sharing information with external agencies
Provide comprehensive administrative support to teams, including raising requisitions, setting up job adverts and assisting managers by using the bespoke Taleo recruitment system, as well as collating information for DBS checks, sickness recording, maintaining staff files, assisting new starters and arranging computer system training



What the client is looking for:

5 GCSEs, grade A-C or equivalent, including Maths and English
Previous experience in an administrative role, preferably within a local government setting
Financial processing and administration experience
Experience providing support, guidance and information directly to members of the public
Experience supporting Children’s Social Care services, or equivalent (preferably in a local government setting)
Accurate minute taking
Understanding of data protection, freedom of information and confidentiality requirements
Understanding of the full range of administrative and business support processes, procedures and best practice, including financial processes etc.
Awareness of Child Protection and Safeguarding processes, procedures, responsibilities and requirements
Awareness of policies and procedures for Children and Families and the principles of Children Act Legislation
Excellent communication skills and excellent telephone manner
Proficient IT skills
High quality of presentation skills and able to compile and/or re-format written reports on behalf of senior officers etc
Ability to appropriately and professionally handle emotionally demanding information relating to children’s social care activity and service users
