Summary

JOB PURPOSE

To undertake a range of complex business, financial and administrative duties that support teams within the department in line with corporate, departmental and team requirements, ensuring a high quality, customer-focused and value-for-money administrative service.

MAIN DUTIES AND RESPONSIBILITIES

To assist with the development, implementation and on-going maintenance of electronic and manual information management systems; to ensure that databases, systems and records are maintained and that data is accurate and up-to-date. To ensure that relevant documentation is archived appropriately.
To assist services in moving to new ways of working as part of the Accommodation strategy especially in relation to documenting processes and procedures and supporting the roll-out and take up of IT systems and to facilitate self-service.
To ensure that financial processes are followed and completed according to departmental or corporate guidance. To be responsible for the procurement of goods and services as directed by budget managers, and liaison with suppliers and other departments as required. To maintain good financial records and produce associated management information for budget holders.
To provide a point of contact for some service-specific enquiries as agreed in the service offer
To set up and organise complex meetings and events, including training, arranging venues, attendance, equipment and refreshments; to arrange any associated travel or accommodation as needed. Based on the agreed service offer, provide some support in taking notes for meetings e.g. witness statements.
To provide high quality diary support, arranging and preparing meetings, managing paperwork (manual and electronic), creating an electronic bring-forward, booking travel and accommodation, greeting external visitors and dealing with incoming calls, responding appropriately in line with corporate customer care standards.
To provide ad hoc administrative support to managers and teams for specific projects or pieces of work under the direction of the Business Administration Manager.
To draft standard correspondence and assist with the production of internal and external communications, including updating web and intranet pages. To assist services with complex technical correspondence as appropriate, and undertake research, composing briefings and in the production of information materials.
To accurately take minutes of meetings of a complex and highly sensitive nature in accordance with statutory and local guidance, ensuring that data is handled confidentially

WORK CONTEXT

This post demands a high level of flexibility, a positive attitude and ability to adapt to changes due to service needs.
This post is office based and the post holder may be expected to work at any LB Camden site and to provide cover for similar roles as directed.
There are no routine physical demands on the job that are beyond normal experience of day-to-day office tasks (e.g. minor lifting and handling such as small packages / boxes within recognised Health and Safety limits).
The post holder will have regular direct working relationships with staff across the departments at all levels.

ESSENTIAL QUALIFICATIONS/REQUIREMENTS

GCSE or equivalent in English and Mathematics (or comparable learning gained by experience) High level of literacy and numeracy.
Proficient in the use of Microsoft Office programmes (Word, Excel and PowerPoint) and an ability to learn new ICT systems quickly.
Experience of working in a business administration environment.

Experience of taking minutes of meetings in a fast paced, customer focused environment (preferably safeguarding minute taking experience) and ability to work with sensitive sometimes challenging information.
