We are seeking a dedicated and highly organised Supplier Operations Coordinator to join our waste brokerage operations team. The successful candidate will play a key role in coordinating with third-party waste collection suppliers, maintaining operational efficiency, and ensuring compliance with industry regulations. This role involves a mix of administrative and operational tasks and will require regular interaction with both customers and suppliers to ensure seamless service delivery.
Key Responsibilities:
Supplier Coordination & Scheduling:
Liaise with third-party waste collection suppliers to schedule and manage waste collection and disposal services.
Monitor service delivery timelines and ensure all waste collection services are performed on schedule.
Address any delays or service issues promptly, communicating with both suppliers and customers to resolve problems efficiently.
Compliance Management:
Maintain and update supplier documentation, including licences, Waste Transfer Notes (WTNs), Duty of Care certificates, and other necessary regulatory paperwork.
Ensure all suppliers are fully compliant with current waste management legislation and industry standards.
Assist in audits and inspections of supplier facilities as needed to ensure compliance with contractual and legal requirements.
Customer Communication & Service:
Act as a point of contact for customers, handling queries related to waste collection, service delivery, and compliance.
Provide prompt and professional responses to customer inquiries, ensuring customer satisfaction is maintained at all times.
Work closely with the customer service team to ensure that service issues are escalated and resolved in a timely manner.
Performance Monitoring & Reporting:
Record and track the performance of suppliers, assessing the quality and timeliness of services provided.
Generate reports to evaluate supplier performance and highlight any issues or areas for improvement.
Communicate feedback to suppliers and collaborate with them to resolve performance-related issues.
Operational Support & Documentation:
Assist with the creation and maintenance of operational logs, tracking job progress and service delivery.
Support the preparation and filing of all necessary documentation for service contracts and compliance purposes.
Assist with the training and onboarding of new suppliers as required.
Continuous Improvement & Compliance Updates:
Stay up to date with changes in waste management regulations, ensuring the business adheres to all necessary legal and compliance requirements.
Support the team in implementing process improvements to enhance service efficiency and reduce operational costs.
Qualifications & Experience:
Essential:
Proven experience in procurement, supplier management, or operations coordination, ideally within a waste management or similar regulatory environment.
Strong understanding of regulatory requirements in waste management, including Waste Transfer Notes (WTNs) and Duty of Care documentation.
Excellent communication skills, with the ability to manage multiple stakeholders, including suppliers and customers.
Ability to work under pressure, prioritising tasks and managing multiple projects effectively.
Strong attention to detail and organisational skills, with the ability to maintain accurate records and documentation.
Proficiency in MS Office (Excel, Word, and Outlook) or equivalent software.
Desirable:
Previous experience in waste brokerage or procurement management within the environmental sector.
Knowledge of waste disposal systems and environmental sustainability practices.
Experience with compliance audits and risk assessments.
Familiarity with industry-specific software or platforms used for waste management.
