Summary

The Role
Global Relief Trust (GRT) are one of the fastest growing NGOs in the field of international development. With a vision to eradicate poverty, we serve the most vulnerable communities in over 10 countries. We achieve this by undertaking projects in various sectors, including food, livelihood, health, education, and water.

We are now looking for a skilled, passionate, and delivery-focused Project Coordinator to join our programmes team. The successful candidate will need to work closely with the Operations Manager and international field offices to ensure humanitarian projects are implemented according to requirements.

Responsibilities will include monitoring the humanitarian situation in designated countries; managing projects from inception to completion; reporting on the status of projects and field offices; maintaining relationships with donors and partners; streamlining project cycle templates; and supporting the Operations Manager with ad hoc duties as required.

Main Duties/Responsibilities:

• Programme management from rapid assessment to post-delivery and project planning
• Provide direct line management of the Field Managers or Officers
• Work with the Finance Department and Sector Managers to ensure all grants, awards and internally funded programs are implemented according to GRT’s guidelines and procedures
• Ensure programs are in compliance with humanitarian standards, donor regulations as well as local legal and cultural requirements. (e.g. Sphere, INEE, CHS, …etc)
• Improve the systematisation and standardisation of grants management in accordance with the country level strategy.
• Identify, design and document donor specific strategies including the identification of potential funding streams and program opportunities with government and donor agencies through sub agreements, grants and awards.
• Identification, documentation and phased implementation of best practice for sector specific and general program management.
• In collaboration with the Compliance Officer, ensure the identification, documentation and phased implementation of Monitoring and Evaluation systems.
• Work with the HR department and sector managers to ensure staff capacity is sufficient to implement the country level strategy.
• Monitor humanitarian crisis in respective countries of operation, performing field assessments when necessary and advising the Operational Manager of response options.
• Ensure the relationship with clusters and other coordination bodies are strong and the profile of GRT in such forums is positive and influential.
• Act as Officer in Charge in the absence of the Field Managers as required.
• Ensuring the full implementation of the project from initiation to delivery to closing
• Improve the operational team, processes and policies in support of Organisation’s mission -- specifically, support better management reporting, information flow and management, business process and organizational planning.
• Play a significant role in long-term planning, including initiatives geared toward operational excellence.
• Perform periodic summary / full reports to Operational Manager
• Development of projects, programs budgets and tracking invoicing to funding sources, including calculation of completed units of service or projects in coordination with financial department “Grants”.
• Conducting regular meetings with Donors, PMs, Country Directors around fiscal planning.

Personal Specification
• Degree in any discipline.
• Two years of experience in project management or humanitarian emergency response sector.
• Excellent numerical, analytical and strategic skills
• Ability to operate flexibly and manage a varied and high workload with conflicting priorities
• Proficient in Microsoft Office including Excel, Word, Access, Outlook etc.
• Comply with organisational policies and practices.
• Excellent communication skills with the ability to present to a broad range of people internally and externally
