Summary


We have an exciting opportunity to work as part of the South West Performance and Delivery Admin Hub. This hub provides support for the directorate and programmes within it. The post holder will be the key link for the Urgent and Emergency Care team and the Elective Care team whilst also remaining flexible and providing cross cover.



The post holder should be resilient and adaptable, working in a high paced team supporting ever changing priorities within a team that is supportive and everyone’s views and values are important. The successful applicant will be an integral part of the directorate in providing support to our programme teams and enable to smooth running of a variety of different workstreams.

Key Responsibilities will include:



Planning & Organising
• Undertaking all administrative duties such as sorting and prioritising e-mail where required. Distributing as appropriate.
• Managing the electronic diary for the Manager and team, including arranging and changing appointments, prioritising these as appropriate.
• Organising and planning events as directed, providing all necessary supporting in local materials.
• Plan and co-ordinate appointments, including rearranging and prioritising as
• Provide support to various meetings including organising meetings, booking rooms, and ensuring papers are ready and distributed for meetings
• Organise travel arrangements for the wider team, booking rail and accommodation in accordance with policy.
• Gather information and undertake enquires for the team and the wider group as and when is necessary.

Communication
• Be the key point of contact for enquiries and advice for the team
• Prepare agendas, take minutes, track and follow up on actions and distribute of notes of meetings.
Working together with other administrators/PA’s across the organisations to provide an effective network of communication including dealing with visitors and being flexible to cover other administrators’ general duties.
