We are expanding our successful teams to provide more care for respiratory patients at their preferred place of choice and we welcome applicants that can support the clinical team to deliver incredible respiratory care. Being administrator for the team it will be likely that you will have the first contact with the patients, and we are looking for a friendly and compassionate person who works well under pressure. The team administrators are pivotal to the day-to-day delivery of the service and reporting commitments.

To provide full clerical support to various key functions within the respiratory team. The administrator will provide high level administrative support and general office duties for the Respiratory Teams. The post will involve patient dealings via the telephone, often being the first point of contact with the service. This role includes completing all administrative, information and organisational duties to ensure the smooth running of the team. Managing and reporting data to ensure targets are met. The administrator will work as part of a proficient team in the delivery of a high quality, timely and effective service.

• To demonstrate excellent organisational skills, must be flexible in approach, able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity.
• Liaising with other organisations including acute, and community providers.
• Deliver excellent customer care and support to both internal and external patients, visitors and colleagues.
• Provide and receive routine information, verbal and written to inform work colleagues, patients and visitors of information as required including where there may be barriers to understanding.
• To be proficient in using Microsoft office packages and other identified IT systems and support other team members in their use.
• Make appointments for team, adjusting where necessary, i.e., conflicting diary appointments and ensuring documents and equipment is available
• Assist in the preparation, collection, scanning, photocopying, printing and processing of materials for training, service information and meetings.
• Receiving patients and log in referrals into the appropriate caseload and checking details held are correct.
• Answer telephone, deal with enquiries, direct as appropriate, take accurate messages and forward to relevant person/department.
• Managing team diaries and arranging meetings, preparing agenda, venues and refreshments
• Goods receipt received orders and distribute to correct department and assist with annual stock take.
• Sorting of incoming e-mail and distributing to addressed department / individual.
• Use reporting systems to log any maintenance / equipment testing requirements i.e., NHSPS Helpdesk, Medical Physics, MEMS etc.
