Hours per week: 36 Monday – Friday, normal working hours

Role Length: This opening assignment is for 3 months

City: Wembley, London

The purpose of the role is to provide efficient and professional day to day administration support to the council.

Key Responsibilities:

Acting as the first point of contact within the administration team, maintaining professional communications with internal and external customers by taking responsibility for all post/telephone queries and handling them as appropriate.
Dealing with all administration tasks required to ensure that departments run smoothly, including financial procedures, such as raising invoices, in adherence to council financial procedures and processes and minute taking.
Identifying any potential issues with administrative processes and escalating to Senior Administration Officers.
Assessing any service complaints received and escalating to a Senior Administration Officer where appropriate.
Promoting the “Self Serve” ethos across departments.
Responsible for owning and proactively managing tasks to a successful conclusion.
Ensuring the sharing of best practice with peer groups as appropriate.
Compile scheduled and ad-hoc reports as required.
Ensure all electronic and paper records are kept up to date and set up new records where required.
Dealing with sensitive information in a highly confidential manner at all times.
Banking and reconciling of cash and cheques where required.

Qualifications:

GCSE (or equivalent) English and Maths.



Skills & Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Experience of following and adapting administrative processes to meet the service’s needs.
Experience of providing business support in a busy environment.
Demonstrable experience of accurate and timely data input and data management ensuring accuracy and confidentiality.
Demonstrable experience of acquiring expertise and understanding of a business.
Substantial experience of working in an information sensitive environment.
Experience of using defined business processes and giving guidance on them to colleagues.
Able to use information systems and databases to record service information and generate reports required by the service.
Ability to manage a complex and demanding workload and to prioritise tasks to achieve performance targets.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
