This opening assignment is for 3 months

City: WEMBLEY, London

A Business Support Officer is required to provide efficient and professional day to day support to the MASH Team (Multi Agency Safeguarding Hub) and to provide efficient and professional day to day administration support to the council. To develop a good business relationship and network within the service areas which the post supports.

Key responsibilities:

Act as the first point of contact within the MASH Team, maintaining professional communications with internal and external customers by taking responsibility for all post/telephone queries and handling them as appropriate.
Deal with all customer queries, including telephone contacts, online referrals and PACs (Police notifications).
Identify any potential issues with administrative processes and escalating to Senior Administration Officers or Principal Officers.
Inform social care managers if there are any urgent child protection issues.
Assess any service complaints received and escalating to a Senior Administration Officer or Principal Officer where appropriate.
Promote the “Self Serve” ethos across departments.
Compile scheduled and ad-hoc reports as required.
Ensure all electronic and paper records are kept up to date and set up new records where required.
Deal with sensitive information in a highly confidential manner at all times.

Qualifications:

Maths and English at GCSE or equivalent.



Experience:

Experience of following and adapting administrative processes to meet the service’s needs.
Experience of providing business support in a fast pace environment.
Demonstrable experience of accurate and timely data input and data management ensuring accuracy and confidentiality.
Significant experience of and competency in using standard Office Packages.
Substantial experience of working in an information sensitive environment.
Experience of using defined business processes and giving guidance on them to colleagues.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
Previous MASH experience desirable.
Experience of working in social care environment desirable.
Experience of working in a call centre setting desirable.



Knowledge:

Good working knowledge of process required to meet legislation, policies and standards of Local Government.



Skills & Abilities:

Able to use information systems and databases to record service information and generate reports required by the service.
Ability to manage a complex and demanding workload and to prioritise tasks to achieve performance targets.
Ability to communicate effectively in oral and written form with a wide audience including Council staff, members of the public and outside organisations. With excellent interpersonal skills and telephone manners.
Ability to identify and undertake rational solutions to complex tasks.
Ability to use own initiative.
Actively look for ways of improving services and outcomes for customers.
Highly organised with an excellent attention to detail.
Strong time management and multi-tasking skills to meet tight deadlines
Exceptional team player.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
