Summary

This is an exciting opportunity to join us as a Senior Company Secretarial Assistant in our expanding AXA UK Group Company Secretarial department. You’ll work in a fast-paced, high-volume environment that prioritises quality. The ability to maintain a strong attention to detail, deliver comprehensive work, and demonstrate robust decision-making skills is essential to provide effective support to the relevant boards and committees.
At AXA we work smart, empowering our people to balance their time between home and the office in a way that works best for them, their team and our customers. You'll work at least 40% of your week away from home with a minimum of 2 days a week in our London office.
What you’ll be doing:

Administration of board and committee meetings, preparing agendas and guidance on board paper content. Minuting meetings, tracking and updating actions.
Assist the Deputy Company Secretary in the day-to-day management and informal mentoring of an Apprentice, delegating work and offering support and guidance (this is not a line management role).
Liaise with key stakeholders for timely delivery of board/ committee papers and use of Diligent electronic board portal. Including biannual reconciliation of statutory registers.
Review and maintain statutory records using Diligent Entities, producing and filing statutory returns at Companies House and updating the “Galaxy” corporate database, ensuring information is consistent and accurate.
Support the delivery of statutory accounts year-end process. Including preparing emoluments declarations and disclosures, arranging approval of accounts at board meetings or by written resolutions.
Assist the process for signing and execution of company documents, ensuring appropriate delegated authorities are followed and advising colleagues on the appropriate use of these.
Facilitate ad-hoc corporate governance tasks and projects.
Schedule Board/ Committee meetings, including liaising with Non-Executive Directors, Senior Executive Directors or their support staff and AXA Group.
