Administrative Clerk -Band 2 -37.5hours permanent
We are looking to recruit a reliable and enthusiastic individual to join our busy team in providing a professional and effective Reception and clerical service for the Trusts Clinical Support Service.

To provide an efficient Clerical and Administration service to our Booking & Scheduling and Secretarial and Administration teams. To maintain a high level of customer service, accuracy, and confidentiality at all times.

This will include the use of current patient administration software and effective communication skills with our patients and other Trust staff members, both clinical and non clinical.

Computer literacy is essential as you will be expected to input and extract information from various Trust Patient Administrative Systems.

Please note this role may require physical effort at times when preparing and managing patients Medical Records.

The successful candidate will have good communication & customer service skills, be friendly and caring whilst maintaining a professional approach, and be able to evidence the ability to ensure accuracy and attention to detail at all times.

An appreciation and understanding of the confidential nature of the work is essential. You should be able to work as part of a very busy team and on your own initiative.

Main Responsibilities

1. Appropriate use of relevant IT systems, e.g. Lorenzo.

2. Assists the team to maintain good office systems and practices.

3. Registration, Booking and Reception of patients arriving for appointments, ensuring accurate demographic and appointment details are recorded on the Electronic Patient Record.

4. Assists the team to maintain stationery stock control for the department.

5. Filing investigation results into case notes, tracking case notes, retrieving case notes.

6. General filing and distribution of correspondence generated by the typing pools and medical secretaries.

7. Respond appropriately and effectively redirecting enquiries from patients, hospital staff, GPs and others by telephone and letter. To arrange clinic appointments as required

8. Close co-operation and flexible working practices with the team and other departments across the organisation.

9. To respond and embrace requirements to change in working practice due to service developments and on occasions work in other areas from your base area.

10. Using own judgment to prioritise tasks allocated by line managers.

11. Assist in training and induction of new starters.

12. Any other duties commensurate with the role and in line with the requirements of the post.

Knowledge and skills
1. Good communication skills are essential when dealing with internal and external contacts both verbally and face to face. Telephone enquiries must be dealt with professionally adhering to Trust policy at all times.
2. Good keyboard skills are required for inputting and amending patient information onto the Lorenzo system, thus ensuring Data Quality.
3. Training of new staff, bank staff, and work experience trainees etc. in the working methods of reception and appointments procedures.
4. To be aware of current guidelines and the impact these have on day to day practices.
5. To be proficient in the use of IT systems, e.g. Lorenzo.
6. To work to current policies/guidelines.
