Summary


An exciting opportunity has arisen to join the Newborn Intensive Care Unit Administrative Team as a Twilight Receptionist/Admin Clerk.

The Newborn Intensive Care Unit (NICU) is a busy ward providing care for babies that are born prematurely from 23 weeks gestation and above, have health problems that are picked up antenatally (before birth) and postnatally (after birth) or have been born unexpectedly unwell.

As the Twilight Receptionist/Admin Clerk you will be an integral part of the team primarily responsible for being front of house, admitting parents/visitors to the ward, dealing with telephone queries, speaking with parents/guardians and providing a range of administrative and clerical duties for the unit, adhering to accepted policies and procedures of the service and Trust.

You will need excellent interpersonal and customer service skills as well as a commitment to working within a team to develop and improve our services, enhancing the patient experience.

You must work well within a team and be able to manage and organise your own workload, prioritising where necessary, and be able to also work without direct supervision. You will use your own initiative and independent judgement to assess and take action where necessary.

To be the first point of contact for parents and visitors to the Ward ensuring their customer service needs are provided for, and to ensure the security policy and hand washing policy are always adhered to.

To provide a range of administrative and clerical duties to the Newborn Intensive Care Unit.

To be responsible for the maintenance/updating of patients records on the Trust's Electronic Patient Record system, Hive and Badgernet.

Answer all incoming calls to the ward, dealing with queries, relaying messages or directing to the appropriate member of staff/team.

Receive, distribute and action mail where appropriate, uploading and scanning documents where necessary.

Receive and sign for goods arriving on the unit, verifying where necessary, checking off and storing away where applicable.

Monitor stationery, ensuring adequate supplies and pacing orders where appropriate.

To recognise the importance of confidentiality, understanding own boundaries and seek advice where appropriate from the line manager/more senior staff.

To undertake any other duties as required within the role.

You will need to be highly organised and have excellent communication and customer service skills. You will provide a complete range of reception and administrative services including data input. You will liaise with all levels of clinical and administrative staff and welcome all patients and visitors to the wards.

The role is varied, interesting and challenging. You must enjoy working as part of a team as well as being able to use your own initiative. You will be flexible and able to prioritise your own workload. A friendly personality and a professional, confident outlook are key to this role as well as a conscientious and pro-active approach. Experience in a similar position is an advantage but is not essential.
