Summary


An exciting opportunity has arisen for an enthusiastic, self motivated, adaptable and experienced person to join our administrative team within the Audiology team based at Aintree University Hospital.

Previous experience in the health sector would be an advantage.

Due to the nature of the work you will be IT literate, able to use most office software. Excellent customer service and the ability to work as part of a team is essential.

You will be expected to be flexible and support the department as and when the need arises.

The successful candidate must be able to undertake all administrative duties including clinic management, be well organised, plan own workload and work on own initiative working to strict guidelines, both individually and as part of the wider team.

You will be expected to be a team player and cover for your colleagues during absences. Previous experience of general administrative duties is advantageous.
Main duties of the job
• Assist the office manager with the smooth day to day running of the Audiology Team's office.
• Assist with the maintenance of records.
• Undertake staff training as directed by the relevant manager for the area.
• Assist with stock control in relation to office supplies.
• Assess stationery stock position and place orders as necessary.
• Assist with the management of data integrity.
• Assist the relevant manager for the area in logging maintenance call-out.
• Provide hearing aid batteries and hearing aid tubing to patients.
• Ensure earmoulds received into the Department are manufactured correctly.

OFFICE DUTIES
• Proactively deal with enquiries.
• Deal with visitors to the department in a timely and courteous manner. Receive deliveries of goods
• Efficient distribution of incoming mail to the department.
• Filing reports and other correspondence.
• Provide clerical support.
• Efficiently use IT systems
• Work effectively with other admin and the wider team
• Assist in data reporting
• Assist in clinic set up and booking

Key responsibilities
1. Assist with clerical support in the day to day running of the office area to
ensure Service provision is met.
2. Responsible for maintaining accurate filing system, case notes and other relevant documentation.
3. To deal, as appropriate, with enquiries from staff, members of the public in person and by telephone, and visitors to the Service.
4. Assist with photocopying duties as necessary.
5. Receive goods deliveries to the Service, signing appropriate documentation.
6. To provide reception support, as and when required, including receiving
and admission of clients to the service and assisting with enquiries.
7. To be responsible for maintaining the administration and storage of data, in accordance with local policies and procedures.
8. To take responsibility for good housekeeping in the Office / Reception /
Waiting area, ensuring they are kept clean and tidy.
9. To be responsible for the opening and closing of buildings/service area, as appropriate.
10.Orders stock as required.
* The post holder shall as necessary provide cover for and undertake duties of absent colleagues.
* The post holder shall follow all the policies and procedures of the organisation.
