Summary


We are looking to recruit a Band 3 Patient Pathway Administrator (Support Secretary/typist) within the Urology Department.

We are looking for an enthusiastic and conscientious team player with excellent audio typing ability.

You will be able to work under pressure, have good written and verbal skills with excellent time-management and organisational skills. You will be able to prioritise your workload throughout the day.

You will be able to demonstrate a clear understanding of confidentiality issues and your behavior will be consistent with the Trust’s Values and Behavioral standards.

As part of a team you will be responsible for the audio typing and transcription of clinical correspondence and will need to be a fast and accurate typist with an understanding of medical terminology. You will work closely with the band 4 Specialty PA's to ensure the timely review of results and any subsequent actions are undertaken. You must be able to prioritise your own workload according to the changing day to day demands and deadlines and use your own initiative to respond to queries both within and outside of the Organisation with a professional manner to patients, relatives and staff.

The Urology Department is based at the City Campus although some services like Paediatrics are based at the QMC. The (Patient Pathway Administrator) Support Secretary/typist is an integral part of the team providing support and cover for the Specialty PA's. We offer a wide range of both cancer and non-cancer care and pride ourselves on our efficient and quality service.

Accurately transcribe clinical letters using Winscribe, producing high quality work within defined deadlines.

Establish and maintain admin systems/databases.

Dealing with incoming mail, results/reports management.

Responsible for the production of discharge summaries, clinical papers and material for publication from either audio or copy typing.

Add patients to the Waiting list, using Careflow.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines.

Answer telephone queries and escalate appropriately.

Undertake peer audit of clinical correspondence to ensure a high standard of accuracy and quality of work.

Ability to exchange sensitive or contentious information with diplomacy and in a confidential manner ensuring timely handover to relevant staff.

Book appointments using necessary important clinical information to ensure patients are seen on their pathway without delay.

Manage e-mail accounts to retrieve Inter Provider Transfers then record and take any necessary action as appropriate.

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway.

Ensure RTT (Referral To Treatment) patient data quality is accurate at all times.

Adapt a flexible attitude to meet the needs of the service, taking into consideration each department’s unique specialty and the subsequent requirements of such specialist services.

Provide cover for Patient Pathway Administrator colleagues during times of sickness and annual leave.

Undertake any other duties which may be reasonably required.
