Summary

First impressions matter. As a Lead Receptionist you play a pivotal role in setting the tone for every interaction. You are the first face and first conversation visitors to Pinhoe View in Exeter will experience. Your warm and friendly personality will shine through as you greet and assist staff, visitors and service users.

What you will be doing

In this exciting role at Pinhoe View, each day brings different challenges and experiences. Working along side the reception team your key responsibilities will be welcoming all visitors in a friendly manner, co-ordinating the office diary for meetings and events and efficiently handling telephone calls, emails and post.

Ensuring the safety and security of service users, staff and visitors is a top priority. You’ll oversee visitor sign ins, conduct security checks and manage the distribution of keys and security badges.

You will oversee the service provided by reception and ensure that all reception processes are followed by both the receptionists and any staff covering reception.

As a Lead Receptionist you will be:

  • Welcoming all visitors in a friendly manner and ensuring the sign the visitor book.
  • Supervising and training reception team (if applicable).
  • Maintaining the upkeep of the reception area & meeting rooms are presentable.
  • Managing the office diary for meetings, events, training days and therapy sessions.
  • Updating and creating all reception data, policies and procedures.
  • Ensuring confidentially and security to the service.
  • Receiving and dealing with telephone calls, emails and post.
  • Ad hoc administration tasks.
  • Ensuring all appropriate leaflets and brochures are on display.
  • Managing deliveries

To be successful in this role, you will have:

  • Working knowledge of MS Office
  • Good standard of spoken and written English
  • Good IT skills
  • Excellent communication skills (written and verbal)
  • Ability to work on own initiative and as part of a team
  • Excellent organisational and prioritisation skills
  • Excellent interpersonal skills
  • Ability to understand the responsibilities of working with confidential and sensitive information
  • Previous experience of leading a team

Where you will be working:

Location: Pinhoe View, College Way, Exeter, EX1 3PZ

Pinhoe View is a new purpose-built facility where a range of mental health services are provided for adults with acute mental health conditions across two wards and eight individual flats.

The 24-hour acute inpatient service is supported by a full multidisciplinary team, which specialises in the assessment, treatment and stabilisation of people suffering from a significant mental health episode and in crisis.
