Summary


An exciting opportunity has arisen for a motivated, enthusiastic, and reliable individual to join the Endocrinology and Diabetes Department at York Hospital, part of York and Scarborough Teaching Hospitals NHS Foundation Trust.

We are seeking a candidate to undertake the role of Diabetes Pump Administrator. This is an excellent opportunity for the successful applicant to gain experience or further develop their knowledge within a specialist administrative role, supported by the Diabetes Specialist Nurse team and wider operational services.

Applicants must possess strong administrative and organisational skills, with the ability to work accurately and maintain high standards of data quality and confidentiality. Previous experience within an NHS setting or working with clinical systems would be advantageous.

The successful candidate will be able to work effectively under pressure, demonstrating strong organisational skills and the ability to prioritise within a busy clinical environment. A flexible, patient-centred approach is essential, along with the ability to communicate effectively and adapt to the evolving needs of the service.

This post will be based across both York and Scarborough sites, supporting services at each location as required.

To provide efficient and confidential administrative support to the Diabetes Specialist Nurse team, supporting delivery of the diabetes pump and specialist technology service across York and Scarborough Teaching Hospitals NHS Foundation Trust.

To process insulin pump and Continuous Glucose Monitoring (CGM) orders, manage consumables, liaise with suppliers, and ensure timely provision of equipment and warranty management.

To maintain accurate patient spreadsheets and databases to support service monitoring, reporting, reimbursement, and compliance with data protection standards.

To receipt and process invoices for pumps, consumables, and CGM devices in line with Trust procedures.

To input, maintain, and validate data for the National Diabetes Audit, ensuring timely submission.

To coordinate patient education and CGM training sessions, virtual and face-to-face, ensuring planning, resource availability, utilisation, and accurate records well.

To liaise with pump company representatives, Diabetes Specialist Nurses, and stakeholders to support training and equipment availability.

To act as a key point of contact for patients, staff, and external organisations, managing enquiries professionally, sensitively, and confidentially, escalating concerns appropriately.

To work collaboratively with multidisciplinary teams, prioritise workload effectively, support administrative functions, and deputise for the Band 5 Service Manager when required to maintain service continuity.
