The Role
The Olympus Academy Trust are looking to recruit a capable and experienced HR & Payroll Assistant to support the HR Business Partner at the Olympus Academy Trust in the delivery of a high quality, efficient and effective HR service.
The HR & Payroll Assistant is the first point of contact. They will monitor, respond to and distribute emails and have day-to-day responsibility for HR, Recruitment and Payroll administration. Duties will include: -
• Entering relevant information onto the HR System and Arbor to ensure the database accurately reflect current staff conditions and details.
• Organisation and effective administration of recruitment and selection processes, including placing job adverts, managing responses, liaising with prospective candidates, arranging interviews, carrying out pre-employment and safeguarding checks and recording them.
• Production of standard documents such as offer letters, preparing contracts using the HR templates provided and other routine correspondence.
• Preparation and maintenance of new staff personnel files, ensuring the correct paperwork is in place and cross-referencing with the HR System.
• Utilising the HR System and relevant spreadsheets to collate and prepare payroll paperwork each month.
• Overseeing the administration of Maternity/Paternity/Adoption Leave.
• Ensuring that statutory and mandatory training is completed and recorded, chasing employees and Line Managers where necessary.
• Monitoring staff absence and ensure that data is kept up to date at all times and return to work interviews take place as necessary, drawing any concerns to the attention of the HR Business Partner.
• Providing general guidance to staff on Policies and Procedures.
• Administration and note taking for HR meetings including disciplinary/grievance hearings.
The successful candidate will be used to high volume queries and organising and prioritising their workload with minimal support. They will be able to work well under pressure, have a deadline orientated approach to their work and take full ownership of key admin tasks. They will be friendly but have the strength of character to challenge where necessary to ensure processes and procedures are adhered to, such as safer recruitment and safeguarding. They will have accomplished IT skills, a positive customer service ethic and a keen eye for detail.
