Summary

Pinnacle Group are looking for a highly organised Conveyancing & Administration Assistant to support the Legal and Conveyancing Manager with a broad range of conveyancing and administration activities. In this varied role you will manage correspondence, maintain accurate records and support key leasehold and conveyancing processes. You will ensure enquiries, documentation and compliance tasks are handled efficiently, while providing wider project and administrative support as required in a fast‑paced, customer‑focused environment.

Our Residential Management Services team oversees large, complex residential developments across the UK. They deliver expert leasehold and block management on behalf of institutional investors, developers, and residents’ management companies.

The ideal candidate will be proficient in Microsoft Office with a professional telephone manner, and have previous administrative experience within a solicitors’ firm or estate agency, bringing familiarity with legal documents, figures and property terminology.

Key responsibilities:

  • Letter writing, email responses, mail-merging, minute taking and franking as necessary
  • IssuingLPE1packs,sales/mortgageenquiries,NoticeofAssignment/Charge,DeedofCovenantand other conveyancing tasks
  • Monitoring and issuing breach of lease letters, instructing 3rdparty solicitors as necessary
  • Support in producing process documents and assistance with projects as necessary
  • Set up new managers on TouchRight app
  • Register new buildings insurance claims with insurance broker on behalf of the Property Manager
  • Obtain quotes to make good and seek approval from insurance company to proceed
  • Liaising with utility brokers Data Energy to procure new contracts
  • Respond to and log any escalated resident complaints
  • Assist with arranging periodic estate events for leaseholders/residents as required
  • Assist Operations Managers with ARMA Audit, ensuring all deadlines are met
  • File confirmation Statements, Company Accounts, Director registrations/resignations on Kudocs

Key requirements:

  • Property/block management/conveyancing experience
  • Excellent telephone manner and written communication skills
  • Proficient in Outlook, MS Word, Excel and PowerPoint
  • Familiarity with legal or conveyancing documentation, figures and property terminologyHighly organised, with the ability to manage competing priorities and ad‑hoc tasks effectively
