We are seeking an organised and detail-driven Asset Data Coordinator to support the accurate management of assets, planned maintenance activities, and data quality within our CAFM environment.

This role is crucial in ensuring maintenance operations run smoothly, compliantly, and in line with industry and organisational standards.

Job Description

You will play a key part in capturing, verifying, and improving asset and PPM data, while working closely with Technical Services, operational teams, and internal stakeholders to maintain high-quality workflows.

This is an ideal opportunity for someone with strong system skills, advanced Excel capability, and experience in facilities, maintenance, or data-driven environments.

Key Responsibilities

Manage asset and PPM data within the CAFM system, ensuring accuracy, consistency, and compliance with legal, engineering, and organisational standards.

Create, update, and maintain planned maintenance schedules ahead of technician allocation.

Monitor data quality, verify updates, and support end-to-end asset lifecycle management.

Prepare and audit asset collection templates and conduct physical audits of agreed work activities.

Review technician feedback and adjust maintenance plans or asset information as required.

Maintain core asset and maintenance information across multiple platforms, including via API integrations.

Manage data administration requests, system queries, and issue escalations.

Collaborate closely with customers, Operational Leads, Technical Services teams, and other stakeholders.

Experience delivering maintenance or facilities-related tasks in a process-driven environment using CAFM, CMMS, or similar systems.

Excellent MS Office skills, including advanced Excel functions and formulas.

Background in work planning, scheduling, asset or database management, or a similar administrative role.

Strong written and verbal communication, with the ability to work collaboratively across dispersed teams.

High attention to detail with a strong process mindset and commitment to data accuracy.

Ability to plan, prioritise, and manage workloads under tight timelines.

Comfortable multitasking and working independently with minimal supervision.

Strong customer service ethic and flexibility to meet client needs, including occasional out-of-hours support.

Quick learner of organisational systems and processes; calm under pressure and confident in decision-making.
