Summary

The role

Phoenix Futures is looking to recruit an organised and efficient Administrator for our Derbyshire Recovery Partnership service to work Monday–Friday, 9am–5pm (37.5 hours per week).

This fantastic opportunity will involve providing administrative support to the South Derbyshire team, completing data and information tasks, and acting as the first point of contact for people attending or contacting the Swadlincote office. The role will also include coordinating and supporting health and safety responsibilities across the service, acting as a “white hat” for health and safety to help promote safe working practices, monitor compliance, and support a positive safety culture.

You will be part of the Swadlincote office team while also working closely with the wider county-wide administration team to ensure the smooth and efficient running of the service.

Location
This role is based at our Swadlincote office (on Rinkway Industrial Estate), which has parking to the front of the building and good public transport links.

About you
This Admin Receptionist role requires a combination of strong organisational, communication, and interpersonal skills to support both staff and service users effectively. Working within our recovery-focused service means successful applicants must be able to demonstrate professionalism, empathy, and discretion when dealing with individuals who may be accessing support services. Key qualities include excellent administrative ability, such as managing appointments, handling confidential records, and maintaining accurate databases, alongside strong customer service skills to provide a welcoming and supportive first point of contact. Effective time management, attention to detail, and the ability to prioritise tasks in a busy environment are also essential. In addition, good teamwork, reliability, and a compassionate approach help ensure the smooth running of reception services while supporting the organisation’s mission to help people overcome drug and alcohol issues.

Key skills for the Health and Safety White Hat element of the role include strong organisational and record-keeping abilities, attention to detail when monitoring documentation and risk assessments, and effective communication to relay safety updates and guidance to staff. The role also requires problem-solving skills to identify potential hazards, basic knowledge of workplace health and safety regulations, and the ability to coordinate incident reporting, safety audits, and training records. Proficiency in office software and the ability to work collaboratively with team members and management are also essential to support overall safety compliance and administrative efficiency.

We are keen to hear from anyone with transferrable skills who is motivated and passionate about recovery.

We encourage and welcome applications from people of all backgrounds and believe it is important to include people with lived experience to ensure the needs of the people we support are represented. We are committed to creating an inclusive working environment where everyone is free to be themselves and we ensure equity of opportunity.
