Summary

Fashion Sample Approvals Coordinator for leading Sports Fashion label in Central London.

We are seeking a highly organised and detail-driven Production / Approvals Coordinator to manage the approval process for both physical samples and conceptual designs across apparel ranges for EMEA retailers. This role ensures all garments meet brand, design, and quality standards prior to production, while maintaining accurate and up-to-date tracking across internal and external approval systems.

Key Responsibilities

* Prepare and submit concept approvals, accurately uploading all required materials to licensor portals and internal workflows, and tracking approvals through to final sign-off.
* Receive, review, and manage pre-production samples within agreed timelines, providing clear and constructive feedback to factories and retail buyers on approvals or required revisions.
* Coordinate the submission of samples for licensor review and proactively follow up via email to secure timely feedback.
* Maintain and update all approval systems with detailed concept and sample feedback, ensuring accurate project tracking across internal platforms and external retailer formats.
* Manage multiple projects concurrently, monitoring progress and effectively prioritising deadlines.
* Collaborate closely with Sales and Design teams to ensure approvals are processed efficiently and within required timeframes.
* Complete and maintain retailer-specific systems with accurate approval feedback and supporting documentation.

Skills & Competencies

* Proficiency in Brandcomply, MediaBox, Ziflow, Box, Monday.com, or similar project management and approval tools.
* Exceptional attention to detail with strong organisational and time-management skills.
* Clear, confident communicator with strong coordination abilities.
* Proven ability to collaborate effectively with internal teams and external partners.
* Comfortable managing multiple projects and adapting to changing priorities.
* Thrives in a fast-paced environment.
* Experience in garment technology or quality assurance is preferred.
