Summary

To undertake purchasing activity, to ensure timescales are met and report any problems in achieving deadlines. To monitor contracts and supplier performance to ensure contract compliance by interaction with the customers to develop the most cost effective and appropriate supply route. To ensure full compliance with all current and relevant legislation, Trust Standing Orders and Financial instructions, departmental policies and procedures on Procurement. To provide reports to management at agreed intervals as required. To understand and comply with the aims and objectives of the department and the Trust. To attend and contribute to meetings where purchasing input is required. To promote the standardization of goods and services to all internal customers and Suppliers and influence the purchasing habits of the Trust. To advise on cost implications for equipment maintenance contracts requirements including whole life costs. To provide advice, guidance and education to Trust personnel (including Senior Managers & Clinicians) with regards to the Tendering process, Public Procurement regulations, Trusts SFIs. To liaise with NHS Supply chain, ICS and The Buying Agency colleagues. To foster good working relationships with customers, budget holders, clinicians and staff at all levels. To liaise with the HSDU Management team to ensure stocks and supplies and loan kits are procured for theatre, meet service needs and are readily available. Responsible for the day-to-day management of all stores across the theatre complexes. Responsible for ensuring the availability of consumables at pre-agreed levels in agreement with clinical staff, including high-cost disposables. Ensure that physical check is carried on weekly basis. Record and report all delivery discrepancies to suppliers and arrange invoices credits organise correct product delivery. Oversee the day-to-day NHSSC orders of all non-stock ensuring all orders are delivered and theatre activity is not impacted. To maintain theatre stock rooms, managing all labels and stock par levels. Support the control of high value consignment stocks, managing the replacement, replenishment and return of implants with the theatre lists Identify alternate products with liaison of clinical team if pre-ordered products are not available in time or when shortages occur Inform clinical staff with any problems with ordering or delivery of products within good time, to ensure alternative arrangements can be made to prevent patient cancellations. Monitor all orders going through the ordering system & Trust inventory management system. Expedite any urgent orders by telephone to the suppliers to minimise delivery delays Act as a champion for the inventory management system, ensuring best practice is applied To undertake line management responsibilities of the stores team in line with trust HR procedure and policies. To support BSM with staff appraisals, staff development, return to work meetings and other meetings as required. Use Trust system like E-Roster, T Doc, ORMIS and others as required. To attend any mandatory training as specified by the manager To actively participate in the orientation and education programme for theatre staff Generate regular reports and inventory audits to assist in keeping stock purchasing within allocated budget
