Summary
Purchase, receive and process orders for all Workshops within the Fleet locality. Forecast and order spares for the Workshops using personal skills and knowledge to obtain preferential costs and delivery. Receive requests from Engineers, Workshop Chargehands, Operational staff, for parts, both stock and special orders, raising the appropriate orders and assuring prompt delivery time from the appropriate supplier. Receive spares from suppliers and distribute to Workshops or Stores, including one off items required for vehicle modifications. Check delivery/invoices for any discrepancies before inputting on computer system. Sign off and goods receipt orders and parts for payment. Correct any discrepancies with Suppliers (including surcharges & credit returns) Maintain the stock control on the Fleetwave System. Produce accurate reports relating to parts spend, usage and stock held, both owned and imprest stock. Implement & control Imprest stock systems and to ensure the terms & conditions are strictly adhered to. Ensure all parts requested comply with the suppliers warranty procedures/terms. Control & monitor the use of consumables. Co-ordinate and ensure that all relevant Fleet invoices are recharged to the appropriate departments and Account codes. Identify obsolete stock and to ensure all procedures are implemented in the disposal of stock & non-stock items as in accordance with WMAS financial instructions/practices. Use, read and understand Suppliers CD Parts Catalogues and Internet Ordering Systems. Comply with the Trusts Policy, BSI Procedures and Health & Safety regulations including safe systems of work. Recommend and implement any Policy and Procedure change within the Stores Department as required by the Fleet Manager. Move heavy spares and units by hand or mechanical lifting equipment i.e. Batteries, Gearboxes, Engines. Provide administrative support and assistance to Fleet staff. Adhere strictly to the Trusts Information Technology security guidelines, the Information Technology Data security policy and the protocols and procedures governing the protection of patient identifiable Data. Collect/deliver spares to all workshop locations, as & when required basis. Take responsible for the security of stock & to conduct regular audit inspections of stock held at all locations under your remit. Organise own workload with little supervision. Deal with incoming and outgoing telephone, E-mail and Fax conversations and enquiries. Attend Workshop Team Briefings
