We are working with a prestigious business based in Shrewsbury who are looking for an Administrator on a temporary basis for approximately 6 months. In this role, you’ll be responsible for coordinating the smooth and compliant operation of the organisation’s vehicle fleet. You’ll oversee day to day vehicle administration, and ensure that all vehicles, drivers, and processes meet required standards. Working closely with internal teams and external suppliers, you’ll keep everything running efficiently, safely, and cost effectively.
You will be responsible for:
• Manage all vehicle procurement (lease / long & short-term hires) to ensure the correct number, standard, and cost of vehicles.
• Manage the vehicle budgets.
• Ensure all vehicles are adequately insured and arrange cover when required.
• Ensure all vehicles have the correct documentation for intended use.
• Ensure drivers hold the correct licence for the vehicle they are operating.
• Liaise with short-term vehicle hirers to ensure correct vehicles are ordered, delivered, documented, and inspected before and after use.
• Manage delivery and collection times for hired vehicles.
• Liaise with the site team to issue and account for vehicle keys.
• Review and improve the short-term vehicle booking system.
• Manage accident repairs, insurance claims, fines, and vehicle-related complaints.
• Ensure vehicles are maintained, and monitor pre-use checks, servicing, and MOTs.
• Authorise invoices and ensure all costs provide best value.
Skills and Experience
The successful candidate will be an organised and proactive administrator with strong communication skills and the ability to manage multiple tasks confidently. They’ll be comfortable using Microsoft Office, handling data, and working with colleagues, contractors, and visitors. A positive attitude, good time management, and the ability to work both independently and as part of a team are essential, along with a practical approach and the ability to stay calm under pressure.
