Crynodeb
As Property Administrator (Reactive Maintenance), you play a key role in the team, working as the first point of contact for our Area Business Managers, General Managers and Property Manager, as well as our contractors, handling calls and dealing with any queries on maintenance jobs required across the business
Your day-to-day activities will include:
- Handling calls from our pubs, inns & hotels as well our PMs, GMs & ABMs.
- Dealing with queries quickly and efficiently
- Logging jobs on our maintenance portal ‘Access Maintain’ and ensuring they are attended to within given timescales and follow call up with contractors as appropriate
- Ensuring our pubs, inns & hotels are updated on all jobs via courtesy calls and emails with updates on reactive, planned and quoted jobs
- Sending weekly reports to contractors to ensure jobs are completed in a timely manner and that they adhere to key performance targets, with a particular focus on re-active maintenance
- Developing and maintaining a monthly report on reactive maintenance ensuring a downward trend in overdue jobs which is reported to line manager
- Developing a trend analysis report for Property Managers using access maintain system
- Ensure contractor regulation information held by us is kept up to date, e.g. insurance documentation, safe contractor, H&S policy documentation
- Processing all incoming invoices for the estates team to the relevant Property Manager
- Raise all capex PO orders for projects
Who are we looking for:
We are looking for someone with excellent verbal and written communication skills and who can develop strong relationships with key stakeholders. You will be able to provide clear and reactive advice to our properties and colleagues across the business and ideally have helpdesk experience in either the facilities or maintenance sector.
You will be a strong team player, able to work as part of a small team and be willing to go the extra mile to ensure our properties are properly supported.
Computer literacy with a good working knowledge of Microsoft Office is essential in this role.
