Job description
As Asset Manager, you will ensure the GPA’s property portfolio in the London Region (within M25) is actively and efficiently managed to deliver the GPA’s Estate Strategy, primarily by:
Develop, maintain and analyse property data records to support the production of occupancy agreements, critical action plans, building asset plans and effective decision making
Produce new occupation agreements and varying of existing agreements by engagement with clients and client managers; instructing the Strategic Property Partner; review of cost estimates; occupation/lease floor plans and creation of Heads of Terms and/or letters of commitment
Take responsibility for the Profit & Loss account for each managed building / occupancy & across the portfolio e.g., through ensuring billing is timely and accurate, voids are minimised, charges are dealt with appropriately
Develop and maintain positive working relationships with senior stakeholders and business representatives to understand and assist with the development of their requirements, and how these can be best accommodated within the overall aims and objectives of the GPA
Lead day-to-day and (if required) strategic liaison and performance monitoring of the Property Partner
Lead on the fortnightly/monthly asset management meetings with the Property Partner
Deputise for senior members of the team when required
Line manage, mentor and support other members of the immediate and wider team if required including the Assistant Asset Manager. This may also include supporting apprentices, fast streamers and APC candidates through their qualification routes.
Key Responsibilities
Ensuring maintenance of accurate property data & records through use of Horizon & in-house documentation e.g., Critical Action Plans
Provide appropriate reports as and when required
Ensure Clients are kept informed of changes to occupancy information
Liaise with and, if appropriate, instruct property & legal partners to act on behalf of GPA
Produce & present reports for a variety of senior Clients and stakeholders as and when required
Check, raise and monitor Purchase Orders for the portfolio in an accurate and timely manner
Review and approve payables and receivables for rent, rates, service charges and other occupation costs as provided by the property partner
Act as first point of contact for all general property queries relating to the portfolio.
Person specification
Must enjoy working within a close team environment, seeking collaborative solutions and supporting others but also have the ability to work independently, seeking solutions autonomously
Demonstrate substantial experience of managing large, office-based portfolios with a variety of landlord and occupier requirements
Able to navigate complex and demanding regulatory demands, whilst at all times maintaining a focus on achieving measurable and impactful results
Must be resilient and persistent to pursuing objectives and solutions
Strong interpersonal, communicating & influencing skills at all levels within an organisation
Must be flexible - occasional travel to site visits, meetings etc in other areas of the country will be required as well as a minimum of three day a week defined attendance in the London office
Able to work in a dynamic, fast-paced environment where deadlines can often be tight
