Summary
Learning and Development Administration Support
Location: Hybrid Working - occasional travel to Birmingham
Contract Type: Full-time / Permanent

You'll be responsible for:
- Ensure the latest versions of guidance documents are maintained on the Hosting Platform following Editorial Board approval.
- Ensure withdrawn guides are promptly removed from the Hosting Platform and securely archived in Version Control for audit purposes.
- Oversee and regularly review Hosting and Working Platform membership, confirming that access is limited to authorised and current members.
- Support Clinical Authors throughout the Training and Guidance review process by proactively identifying guidance due for review and ensuring all documents are formatted in accordance with DWP standards.
- Facilitate the delivery and receipt of guidance from external medical contractors responsible for quality assuring guidance following an annual review.
- Maintain oversight of the TaG Guidance Review Tracker and ensure that all guidance documents are stored in the appropriate folders.
- Providing regular updates to Clinical Authors on the status of guides in progress acting promptly following Clinical Author reviews.
- Communicate updates regarding cleared guidance to Editorial Board members and respective supplier contacts via email, as outlined by CPG.
- Undertake additional tasks as and when required by working in a collaborative manner with the other Admin Leads, in accordance with instructions from DWP CPG or CMPD.
- Undertake other administrative support tasks within the Ingeus L&D team as appropriate.
- Develop excellent working relationships with the wider Ingeus team, and external stakeholders as appropriate.

- Previous experience in an administrative role with the ability to handle a wide variety of administrative tasks efficiently.
- Effective written and verbal communication skills.
- Numerate with excellent organisational, planning and problem-solving skills.
- Ability to work on your own initiative as well as part of a team.
- Discretion, with an understanding of the need for confidentiality
- High level of accuracy and attention to detail.
- Ability to handle unexpected situations and adapt promptly to changes
- Experience of using IT based records management/database systems
- Ability to present large amounts of information and data visually and appropriately to a variety of audiences.
- Exceptional organisation and time management skills.
- Intermediate or advanced IT skills with business software such as Microsoft Word, Excel, PowerPoint and Outlook.
- High level of integrity and ability to recognise and correct mistakes and maintain continuous improvements.
- Commitment to continuing professional development.
Desirable:
- Experience of, applying contractual/compliance frameworks to document reviews.
- Effective interpersonal and influencing skills with the ability to engage and work effectively with both internal and external stakeholders.
- Experience of assisting with project management.
- Previous experience in a secretariat role.
