We are seeking a highly organised and proactive Workplace Facilities Coordinator to ensure the smooth operation of a high-profile office environment.​

This role is central to maintaining excellent service standards and supporting both employees and visitors at one of our most important UK sites.

Job Description

The successful candidate will work closely with office directors, manage escalations, and coordinate onsite activities to guarantee compliance, safety, and efficiency.​

You will take responsibility for coordinating the activities of two facilities assistants, ensuring holiday and sickness cover is managed and all workplace services operate smoothly.

Key Responsibilities

Act as the main point of contact for office directors and handle escalations promptly and professionally.

Coordinate and resolve onsite issues, ensuring smooth day-to-day operations across the Birmingham office.

Organise holiday and sickness cover for two facilities assistants and maintain effective scheduling.

Oversee health and safety compliance, including maintaining documentation, conducting inspections, and ensuring adherence to regulations.

Manage workplace services such as cleaning, catering, and maintenance to deliver a high-quality experience.

Monitor footfall and space usage across 70 desks and 15–16 meeting rooms, ensuring optimal utilisation.

Liaise with suppliers and service providers to guarantee timely and efficient delivery of services.

Support ESG initiatives and compliance processes, including sustainability programmes and waste management.

Professional and Personal Competencies/Qualifications

Proven experience coordinating people, ideally with team management or supervisory responsibilities.

Strong organisational and multitasking skills with the ability to manage competing priorities.

Excellent communication skills and proficiency in Microsoft Office Suite.

Familiarity with health and safety regulations and workplace compliance processes (preferred).

Proven background in a customer-focused or hospitality setting, with experience in front-of-house operations (desirable).
