Job Purpose:

The Business Support Officer provides administrative, operational, and coordination support across business functions to ensure the smooth running of day-to-day activities. The role is responsible for supporting senior staff, maintaining business documentation, coordinating internal processes, and assisting with data, reporting, and service delivery activities. The role contributes to organisational efficiency, service quality, and overall business performance.

Job Description (Main Duties and Responsibilities):
Provide administrative assistance including scheduling meetings, managing calendars, and preparing correspondence.
Maintain records, documentation, and business files in compliance with internal policies.
Coordinate office operations, supplies, logistics, and general facility support.
Support onboarding and orientation for new staff members.
Assist with monitoring and updating internal processes, procedures, and workflows.
Support business units with data entry, document preparation, and information management.
Help coordinate cross-departmental tasks and ensure timely completion of activities.
Process purchase orders, invoices, and vendor documentation where required.
Serve as a point of contact for internal and external stakeholders.
Handle queries, provide information, and escalate issues when necessary.
Maintain professional communication with staff, clients, and suppliers.
Prepare routine reports, dashboards, and summaries for management using available tools.
Assist in compiling business performance data, KPIs, and service delivery metrics.
Support accuracy and consistency of business data across systems.
Prepare agendas, take minutes, and track action items for meetings.
Provide administrative support for small-scale projects or internal improvement initiatives.
Coordinate scheduling, resources, and documentation related to business projects.

Key Skills, Qualifications and Experience Needed [The candidate must demonstrate these in all stages of assessment]
Bachelor’s degree in Business Administration, Management, Public Administration, or a related field (or equivalent experience).
1–3+ years of experience in administrative support, business operations, or office management roles.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Experience with document management systems (e.g., SharePoint, OneDrive).
Familiarity with CRM or business information systems is an advantage.
Ability to prepare spreadsheets, basic charts, and summaries for management.
Competence in data entry, validation, and maintaining accurate records.
Basic understanding of reporting tools or dashboards (Power BI, Google Workspace tools, etc.) is beneficial.
Strong organisational and time-management skills.
Ability to multitask, prioritise work, and meet deadlines.
Excellent verbal and written communication skills.
Detail-oriented with strong accuracy in administrative tasks.
Ability to communicate professionally with staff at all levels.
Good interpersonal skills and a customer-focused approach.
Ability to handle sensitive information with discretion.
Certifications in office administration, business support, or project coordination are a plus.
