Deputy Manager for Supported Accommodation

Summary
1) Provide professional leadership and management of the day to day running at Empire ensuring to follow all policies and procedures in place so you may deliver the highest standard of care and support to young people and staff. · Promote high standards of quality within the company in respect to the homes, resources, support, and experiences offered to the young people.
2) Liaise with local authorities, as well as the health and other experts dealing with the young people, to ensure the level of care offered is compliant with current regulations.
3) Lead homes through Ofsted and other various Local Authority inspections and regulations.
4) Be sure to handle employee concerns and complaints in a timely and accurate manner.
5) Manage and plan for staff meetings to be held regularly throughout the year, typically every 4-6 weeks, sometimes outside of regular business hours.
6) Safeguard and promote young people's welfare.
7) To apply the disciplinary rules as laid down in the Employee Handbook and to implement the disciplinary procedures where necessary.
8) To ensure the fabric and framework of the home is maintained by the compliance wherever practical.
9) To ensure all appliances are maintained properly by the compliance wherever practical and safe and all documentation is in date and stored in compliance folder and regularly updated and booked in when required.
10) To arrange the maintenance and repair of anything to do with the accommodation internally and externally or appliance requiring specialist attention.
11) To maintain all insurance policies relating to the home and equipment.
12) To comply with regulations and procedures regarding health and safety, fire precautions and personnel management as specified in manuals and keep records as required.
13) To comply with regulations as laid down in statute and by the local registering authority.
14) To monitor stock levels and to order, purchase and collect (where necessary) all consumables required by the home.
15) To attend to all matters pertaining to the home arriving through the post and any other general office duties that may arise.
16) To calculate staff wages, attend to PAYE and NI contributions and issue payments at the appropriate time.
17) To attend to residents' personal allowances (pocket monies) where appropriate keeping up to date and accurate records as necessary. This also related to petty cash on the accommodations.
18) To maintain account ledgers and cash books, regulate cash-flow and maintain profitability, fall to do so with funds going missing you will be accounted for to pay these back as being the responsible person in charge of in-goings and out-goings.
19) To be responsible principally for dealing with residents and residents' relations regarding enquiries about financial matters. Including informing residents and residents’ relations of how much they have to pay, when and how to pay it and what they will be getting for the amount they have paid.
20) To prepare duty rotas and task for staff on the home and office base
21) To be "on-call" for emergencies arising in the home 7 days a week, and to cover any shifts should a staff member go down, after exhausted other staff members to cover.
22) To participate in the development of activities for residents.
23) To assist in conducting interviews for new staff and to follow up for references.
24) To make sure that all duties undertaken by Support staff, team leaders and admis staff are performed to the required standards and that staff contribute to the efficient running of the home and create the right atmosphere.
25) To ensure that adequate staff cover is maintained for all shifts so that service users are kept safe and their health and welfare needs are met.
26) To instruct new staff on matters regarding health and safety, fire precaution and prevention.
27) To attend staff meetings where appropriate.
28) To be familiar with regulations and procedures required in the execution of the above duties.
29) To ensure all files of confidential information relating to the organisation, residents and staffing are kept safe and locked away.
30) The internal and external of the property is kept to the highest standards in line with the supported accommodation framework and regulations.
31) All paperwork is completed in time weekly, monthly and when required and stored, saved and filed away accordingly on all platforms used in the organisation.
32) To ensure you do not breach GDPR or data protection, at any time during your services in and outside of the company.
33) To make sure daily all staff are completed the allocated task set via ClearCare
34) To ensure daily checks, compliance and audits of all requirements and regulations are being met daily.
35) You are to keep your keys upon you at all times, and make sure you lock or close your laptop when away from you desk, nor should you place any heavy objects or any objects at all upon the laptops and other electrical devises in the organisation.
36) You are to obtain referrals in monthly at least 1 a month to fill the accommodations.
