Summary
The postholder willbe responsible forthe processing of dental referrals which are received electronically and in the post. The post holder will work closely with administrative and clinical staff within the Community Dental Service. The post holder will be expected to liaise effectively and professionally with all levels of staff and members of the public and to act as first point of contact for Community Dental Service enquiries. The dental software currently used is Sensei and full training will be provided. The post holder will also provide other administrative support as necessary to the Community Dental Service.
Working time: 37.5 hours per week, 8.30am-5pm, Monday-Friday, Office based role
1. Responsibility for the processing of all referrals to the CDS including assessment of the referral, inputting of data, obtainingadditionalinformation, compiling new patient records onto the clinical recordssystemandforwardingto the relevant Community Dental Clinics ina timelyfashion.
1. Tobe responsible forthe processing of enquiries,lettersand reports.
1. To record, collate and present service activity reports, audits and surveys asrequired.
1. To deal appropriately with the ingoing and outgoing poston a daily basisensuring that all letters are recorded,processedand/or redirected quickly and efficiently.
1. To respond to mail, telephonecallsand emails to the CDS HQ in box ensuringaccuraterecording and transmission of messages, taking suitable action to ensure that enquiries are directed to theappropriate membersof staff and undertaking delegatedactionas necessary.
1. To deal with all enquires by telephone in a calm, sympathetic/empathic way,assistpatients in an understanding manner especially where there arebarriers to understanding e.g. language, poor hearing or if the caller is distressed or aggressive.
2. To take responsibility for cascading information throughout the service as required.
3. Undertake general office duties such as filing, ordering of stationery, equipment, printing and other items, photocopying, shredding.
