The Opportunity:

Are you customer focused and proactive, ideally with experience of working within an Events team? If so then this is a fantastic opportunity to join our experienced Conference and Events team, where you will be supporting the Conference and Events Enquiries Manager in in the effective handling and conversion of enquiries, ensuring that conference and meeting organisers receive an exceptional standard of service.

The University of Edinburgh, through its Accommodation, Catering and Events (ACE) department, manages a large portfolio of hotels, venues, student and seasonal accommodation. This includes the management of events across 10 venues with multiple event spaces in each.



You will be responsible for:

Working alongside the Conference and Events Enquiries Manager to effectively manage all incoming enquiries, ensuring KPIs related to response rates, customer satisfaction and conversion are achieved.
Managing a portfolio of clients, working with them from their initial enquiry through to site visits, preparation of proposals and contracts.
Liaising with all necessary departments and external suppliers, including Accommodation and Catering functions and AV suppliers to co-ordinate the services and facilities required by the client.
Ensuring a comprehensive knowledge of all available facilities and on-going developments is maintained in order to provide clients with accurate and timely advice and information.
Adhering to departmental booking procedures, ensuring that terms and conditions are properly contracted. Ensuring pre-payment and deposit invoices are prepared and sent out accurately and within required timescales.
Planning, co-ordinating and managing a small number of key client events from enquiry stage through to the day of delivery when required.

High level of forward thinking and planning to effectively manage high volume of enquiries.
Strong planning and organising skills, and can prioritise well to ensure deadlines are met.
Excellent attention to detail, can listen and interpret needs and requirements.
The ability to make decisions with conviction and confidence, and recognise when to escalate.
It is also highly desirable, but not essential, that you have previous experience of working within an events team dealing with event enquiries and contracting.
