Summary

Pinnacle Group are looking for an experienced Deputy Property Manager to support the delivery of high-quality property management services at Barking Riverside. This role involves daily oversight of contractor activity ensuring repairs and planned preventative maintenance works are completed to specification. The successful candidate will assist with insurance claims, stakeholder reporting while managing resident communications across multiple channels. Working closely with the Property Manager, the Deputy will contribute to service charge budgeting, contractor payments and block management activities including site inspections. The role also includes supporting resident engagement initiatives.

You will be joining our Residential Property Management team based in Barking. The Residential Property Management team oversees large, complex residential developments on behalf Institutional Investors, Developers and Residents’ Management Companies, providing comprehensive leasehold and block management services.

The Ideal Candidate will have experience in block management and health and safety compliance, strong organisational and communication skills. They should be confident of managing contractor relationships and service charge processes. You’ll bring energy and initiative to resident engagement, making every interaction count while keeping stakeholders informed with clarity and confidence.

Key Responsibilities

  • Fixflo & Contractor Management: Monitor contractor activity daily via Fixflo, instructing on repair and PPM works and verifying completion to specification.
  • Insurance Claims: Register and process insurance claims with assessors and brokers, ensuring all required documentation is provided and approved.
  • Stakeholder Reporting: Provide timely updates and reports to stakeholders, maintaining transparency across all property management activities.
  • Resident Communications: Respond to resident enquiries across phone, email, face-to-face and ARK messages, escalating key issues to the Property Manager.
  • ARK Updates: Upload weekly site updates and useful resident information to ARK to ensure consistent and accessible communication.
  • Service Charge Activities: Assist in preparing and agreeing annual service charge budgets and ensure accurate processing of contractor invoices.
  • Block Management Activities: Conduct monthly site visits and support the creation of quarterly inspection reports using Touch Right.
  • Resident Engagement: Coordinate resident engagement activities including meetings, events and AGMs, and follow up on agreed actions.
  • Staff Management: Support the Property Manager in overseeing on-site staff, including performance reviews and absence management.
  • Health & Safety Activities: Assist in health and safety audits and arrange service and maintenance visits, ensuring all actions are completed.

Key Requirements

  • Proven experience in residential block management, including site inspections and reporting.
  • Strong understanding of service charge budgeting, invoicing and leaseholder queries.
  • Confident in managing contractors and handling insurance claims from instruction to completion.
  • Excellent communication skills with a proactive approach to resident engagement.
  • A relevant housing qualification is advantageous.
