Balfour Beatty is seeking a dynamic Project Administrator to contribute to the Net Zero Teesside (NZT) project based at our site in Redcar and Cleveland.
What you'll be doing
The Administrator plays a vital role within the Administration and Support function, ensuring the smooth and efficient operations of our Project Administration.
This role will support across our NZT function and – you must be ready and willing to join the team and thrive in a fast-paced environment and be adaptable to managing multiple tasks and responsibilities.
Key Accountabilities
• Act as a focal point for all general administrative duties to support the efficient running of the project – this will involve everything from front of house duties to minute-taking, organising visitors to keeping on top of all our records
• Devise and maintain efficient office administration processes to support seamless team operations
• Cover reception duties when needed: screen calls, manage messages, and respond to enquiries
• Assist with the daily plan and book rooms both internally and externally for meetings
• Organise and produce confidential documents, reports, and presentations
• Manage multiple diaries and plan schedules to optimise executives’ working days
• Screen and manage incoming correspondence, including mail, telephone calls, and
emails, on behalf of executives as required
• Arrange and attend executive meetings and conferences, including taking minutes and organising facilities
• Book travel and accommodation for both UK and overseas trips
• Prepare and track personal expenses and other related expenditure
• Maintain accurate and secure filing systems (both paper-based and electronic), including archiving
• Maintain confidentiality of sensitive business information at all times
• Perform ad hoc confidential project work and data analysis as required
• Review internal presentation documents and run ad hoc reports
• Carry out any additional administrative tasks as directed by the line manager
Who we're looking for
Personal Qualities and Experience
• Highly motivated, proactive, and practical with a strong work ethic
• Excellent communication and interpersonal skills, able to build effective relationships at all levels
• Honest, reliable, and professional with a high degree of discretion and confidentiality
• Organised with exceptional timekeeping, multi-tasking, and prioritisation abilities
• Computer literate with expert knowledge of Microsoft PowerPoint, Word, and Excel
• Previous experience supporting senior executives at board level is desirable
• Proven ability to work independently with minimal supervision, as well as collaboratively within a team
• Logical, proactive approach with strong attention to detail
• Effective under pressure and able to meet tight deadlines
• Ability to handle confidential issues with great sensitivity
