Summary

The RSPB are looking for a Senior Administrator to join its team in North East Scotland. The role will provide comprehensive administrative support to reserve and wider countryside colleagues predominantly covering Aberdeen, Aberdeenshire and Moray but with some support at an area level, including Shetland.We are looking for a motivated and adaptable Administrator to join the North East Scotland & Shetland team. In this dynamic role, you’ll provide vital support including the administration of financial processes, travel and accommodation, events, diary bookings and office administration so that staff and volunteers operate efficiently. We’re looking for someone who is detail-oriented, flexible, and solutions-focused. You’ll be confident juggling multiple tasks, building strong working relationships, and handling sensitive information with discretion.There will be a requirement to attend the Aberdeen office (at least 1 day per week) to oversee the day-to-day management of the office environments, liaising with Central Services or equivalent facilities management services as necessary, ensuring the office is an efficient, effective and safe place to work. Additionally, occasional travel to other locations may be necessary to provide in-person support for meetings and events.Your responsibilities will include:Arranging and supporting meetings online and occasionally in person.Undertake financial management and reporting processes and analysis of information when required to ensure that financial information is well managed.Be a key contact for Suppliers and Contractors for the procurement, provision and delivery of goods and services, including selecting appropriate suppliers and contractors.Use of Microsoft Office 365 and SharePoint to keep everything organised and accessible. This will involve managing relevant SharePoint sites, storing a range of records with appropriate access and security settings, overseeing retention/deletion of records, and enabling speedy, intuitive and consistent access to up-to-date information for colleagues.Assisting with management of IT equipment.Provide comprehensive support to recruiting managers where required for all aspects of the recruitment and induction process.Correspond with members of the public, Supporters, RSPB Members and volunteers to ensure a consistent and positive RSPB experience. Essential skills, knowledge and experience:At least 5 GCSE's or National’s or equivalent including Maths and English.Extensive knowledge of Microsoft Office applications (especially Outlook, Word, Excel, PowerPoint and Teams) and SharePoint, plus the ability to impart this knowledge on to othersExperience of budget management and reporting financial informationAble to communicate effectively with a wide range of audiences whether by phone, email or in person, to organise meetings and events, from small up to very large and coordinate all aspects of the meeting or event logistics.Able to make the best use of time particularly when under pressure from competing priorities, prioritising and delegating tasks effectively, during periods of both low and high demand.Able to deal with confidential and sensitive information appropriately.Experience of providing administrative support within an organisation.Experience of office management and maintaining a safe working environment by complying with health and safety codes of practiceDesirable skills, knowledge and experience:At least two A-Levels, Advanced Highers or equivalent qualificationsInstitute of Facilities Management qualification.Interest in and knowledge of conservation and the natural world.Experience of working with volunteers.Experience of Data Entry.Full driving licence valid for use in the UK.This is a Permanent Part-Time role for 15 hours per week.
