Summary


To work with the departmental managers and Contracts Manager to support effective and high-quality contract management on behalf of Black Country Pathology Services (BCPS).

The post holder will support a portfolio of services which will have a mix of NHS and Non-NHS agreements, to ensure the Trust provides high quality healthcare services and performance through its contracts.

The post holder will be responsible for:

Assisting in the negotiation and management of a range of healthcare contracts including NHS and Non-NHS.

The production of reports within agreed timescales.

Organisation and co-ordination of meetings, creation and distribution of agendas and meeting papers.

Dissemination of information for a range of internal and external stakeholders.

Assisting in the development and maintenance of contracts database and shared folder.

Supporting the process of ongoing contact review. Supporting departmental mangers to manage their portfolio of healthcare contracts.

Assisting with queries relating to obtaining reimbursement for the trust, when testing has been carried out. Including liaising with laboratory customers and/or their finance department regarding credit requests, purchase order (PO) queries and any other disputes relating to payments. A critical part of the role will be ensuring a valid PO is obtained from customers and communicated to the financial accounts team for invoicing.

Monitoring of performance against contract to ensure quality is maintained and KPI's are met.

Preparing and presenting reports relating to performance and financial position, including for contract review meetings.

Be the point of contact for customers for any billing/invoicing queries. Assist in resolving and issues preventing payment.

Gain knowledge and understanding of admin requirements within the Specialist Chemistry team in order to provide cover during leave.

Ensure SLA's and any other associated documentation are kept up-to-date and recorded in the Quality Management System (QMS). This will include coordinating signing of documentation.

Develop a good working knowledge of contracts held by the department and sources of information to be able to respond to queries where required.

To support the effective contractual management of a portfolio of referral location providers with the direction from the departmental managers and Contracts Manager.

Monitoring and report the progress of the financial, activity, quality aspects of contracts and associated workstreams, tracking of milestones, KPI’s and reporting of key risks.

Support operational, managerial and corporate colleagues in the management of their contracts and act as a “centre of excellence” on SLA-related topics.

Ensure effective engagement and working relationships with laboratory customers and other contractor representatives to ensure performance monitoring of contracts is undertaken and recorded in line with appropriate regulations and frameworks.

Prepare and collate the information required for regular contract performance meetings and reports highlighting areas of risk and concern, including outcomes data.

Support departmental managers across a wide range of internal / external meetings and working groups.

Provide effective administration cover and flexible support to the wider Specialist Chemistry team, including maintenance of office processes and protocols and develop maintain the contracts database.

Take responsibility for the efficient organisation and maintenance of a centralised computer-based quality management system (QMS) – Q-Pulse for all contracts held.

Support the administration of contract versions and facilitate and track the issue of contracts for signing.

Ensure the integrity of the Specialist Chemistry Team by maintaining a professional manner and ensure all contacts with internal and external stakeholders are in a professional and welcoming manner.

Develop a good working knowledge of contracts held by the department and sources of information to be able to respond to queries where required.
