Summary
Title: Programme Administration Officer
Reports to: Administration & Governance Manager

Contract type: 12 Months fixed-term contract
Hours: 37.5 hours per week Monday- Friday (Part time 4 days per week 30 hrs considered)
Location: Contracted to one of our RTS offices with flexibility to work from home, subject to business requirements and line manager approval. Travel may be required to offices and our communities.

Role Summary
We are seeking a highly organised and detail-oriented Programme Administration Officer to join our team. The ideal candidate will be responsible for providing comprehensive administrative support to our Regional Programme Directors and across programmes to ensure the smooth operation of the function. This role requires proficiency in various software applications, excellent communication skills and a proactive, flexible approach to support us as we enter into an exciting period of growth.
Key Objectives of the Job
Working closely with the Chief Programmes Officer, Regional Programme Directors and the Administration & Governance Manager, this person will:
-Support the administration requirements of the Regional Directors and Programme teams.
-Organise and maintain files, records, and documentation as required.
Schedule appointments and meetings, and prepare necessary materials.
-Assist with managing correspondence and respond to enquiries in a professional and timely manner.
-Assist with data entry and maintain databases as required.
-Coordinate travel arrangements and itineraries as required.
-Prepare reports, presentations, and correspondence as needed.
-Support team members with various projects and tasks.
-Support teams with minute-taking for meetings.
-Support teams with the planning and coordination of various events.
-Support teams with funder reporting and events requirements if required.
Experience required
-At least 2 years of experience in an administrative role.
-Experience of arranging meetings, managing calendars, supporting the tracking of organisational progress and arranging travel for senior staff.
-Experience of organising and maintaining files across multiple departments.
Skills
-Strong organisational, prioritisation, and planning skills with the ability to meet deadlines.
-Excellent ICT skills, confident with using new pieces of software/online tools for daily administration and project work. Previous use of Google Suite is preferred, but training will be given.
-Excellent communication skills, both written and verbal.
-Confidentiality, discretion and sensitivity whilst carrying out all aspects of the role.
-Flexible attitude and willingness to undertake a variety of tasks.
Knowledge & Qualifications
-Understanding and/or lived experience of the issues facing the communities affected by deprivation (desirable)
