Summary

2. JOB PURPOSE The post holder has line management responsibilities for the Business Support Team within MMPS. They will lead the team, prioritise workloads and ensure continuous improvement systems and processes within the Business Support Unit. The post-holder works closely with the Business Support Manager/Business Manager/General Manager for MMPS to ensure efficient delivery of an administrative service to the CSU. The post holder takes the lead in co-ordinating the delivery of the Business Support Team. 3. JOB DIMENSIONS Manage the business and administrative function and associated staff of MMPS. To support the Clinical Director, General Manager and Business Manager, Business Support Manager and staff to ensure the effective management of the service. To manage the performance of the service within agreed targets To support new service developments/projects within the CSU. 4. KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED Please see person specification for full details. Essential skills include: Educated to degree level or a management qualification Management experience An understanding of NHS organisations and structures Experience in managing and motivating staff Strong influencing, leadership and motivational skills. The ability to communicate appropriately and succinctly to a wide range of professional and managerial staff across organisational boundaries Assertive/Confident Excellent written and verbal reporting skills Excellent interpersonal skills with an ability to form a good rapport with staff, patients and others Effectively communicate with people at a variety of levels within the organisation both in writing and verbally. Ability to deal tactfully with difficult and challenging requests Ability to produce excellent quality work to demanding deadlines. Ability to research information and prepare briefing notes and reports Ability to draft and proof read using a high standard of written English Ability to work with sensitive/confidential information Knowledge of Microsoft packages Understanding of Information Governance A self-starter capable of working on own initiative. Ability to deliver high quality work under pressure, balance competing priorities and work in a fast-changing, complex environment. 6. The post holder will also work as part of a team, providing leadership and creating a team approach to the collaborative delivery of objectives. The post-holder will need to be flexible to meet the changing demands of the service and be of a calm disposition and be enthusiastic. The post holder will work closely with the CSU Team to ensure the Trusts agenda is developed appropriately. The post-holder will be expected to display a supportive/facilitative role to meet national imperatives or local improvements in service delivery. The post holder will have the ability to balance local needs with national priorities and be able to assess, understand and manage competing priorities of the organisations and individuals. 8. CORE KNOWLEDGE AND UNDERSTANDING The post holder should have excellent written and verbal communication skills and the credibility to facilitate relationships with colleagues and senior medical staff. A self-starter capable of working on own initiative he/she should be able to work with a wide range of staff from different specialties. The post holder should have experience of general office practice and procedures and a knowledge of Microsoft packages. 9. PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY Resource Management Lead the CSU Business Support Team, taking responsibility for the work produced. Ensure key objectives are met as agreed. Facilitate regular Business Support team meetings/Team Briefs to maintain effective communication. Agree with each member of staff personal objectives following an annual appraisal and organise training where appropriate. Monitor individual progress against these objectives, offering direction and support where necessary. The post holder will be responsible for managing sickness, attendance, conduct, performance and any disciplinary issues and taking these to hearings within Trust Policies. Ensure that the appropriate recruitment and selection of staff takes place. Be responsible for collating personnel information on the team and submit personnel data as required. Ensure that staff within their responsibility undertake and maintain mandatory training as indicated within Trust Policy. There is a requirement for cross site working. Monitor the Business Support budget, pay and non-pay Purchasing and authorising expenditure on non-clinical items where required. Help plan, evaluate and recommend the use of resources within the department. Monitor and use administrative/non-clinical resources appropriately. Authorise team members time sheets/holidays as required. Provide cover for Business Support Manager as and when required. Drive the delivery of the staff engagement work across the CSU and support managers to make improved and sustained changes.
