We'd like you to join us as a Clinical Administrator to support our team of Nurses at our Woodlands service in York.

Woodlands provides specialist Level 2 Neurological Rehabilitation and Neurobehavioural services for adults in York. We're committed to helping every person we support feel safe, happy, empowered enabling them to live the best life possible.

What you'll be working:

  • Working Full time/Part time
  • Between 30 to 37.5hrs per week to be discussed at interview
  • Location: Woodlands Neurological Rehabilitation Centre, 120 Thief Lane, York, YO10 3HU
  • Salary: £24,989.53 per annum
  • Reporting to: Head of Support Services

What you'll be doing:

  • Management of the clinical rota, including covering last minute sickness; contacting contracted staff for additional shift cover, and liaising with agencies to ensure that staffing needs are met where we are unable to meet them internally.
  • Management of the holiday calendar for clinical staff.
  • Logging annual leave and staff sickness onto the rota.
  • Sending emails and communications to staff on behalf of the Senior Leadership Team.
  • Liaising with HR to book new staff onto training and supernumerary shifts.
  • Completing spreadsheets and reports for Head Office as required.
  • Completing ad hoc administrative duties as required, such as formatting and creating documents and letters.
  • Providing cover for the rest of the admin team, including reception, when needed to cover annual leave and sickness.
  • Taking minutes and distributing them accordingly
  • Management of UKROC system
  • Management of therapy timetables and patient timetables
  • Creating MDT paperwork on a weekly basis
  • Management of subject access requests and submissions
  • Producing data and graphs for Governance on a monthly basis
  • Managing agency hours and inputting onto matrix system
  • Creating and managing excel spreadsheets and inputting data
  • Management of Deprivation of Liberty safeguards administration systems
  • Management of new starters induction to the service
  • Completing audits when requested as part of the auditing team

What you'll have:

  • To be enthusiastic and conscientious, diligent and to have a flexible approach, and "can do attitude"
  • Strong communications skills - written and verbal
  • Excellent customer service skills and a proactive team player
  • IT/ Microsoft office skills essential
  • Flexible and adaptable with the ability to prioritise and plan workload
  • A highly organised and professional approach with attention to detail and accuracy
  • Positive and engaging personality, with an energetic attitude
  • Relevant experience within a customer facing environment
  • Appointment will be subject to successful completion of an enhanced DBS check which the centre will cover the cost for.
  • Attend any company training and complete mandatory eLearning
