Summary
The Project Coordinator will be responsible for coordinating and supporting up to 20 service users and carers who collect the qualitative information as part of this project. These service users and carers are referred to as Story Collectors. We are looking someone who can establish and develop relationships with service users and carers quickly and sensitively, is able to coordinate project work under minimum supervision, and who is also proactive and can contribute to activities to bring the project to its completion. Key activities October 2025 January 2026: Organise story collection either by linking directly with service users and carers or by coordinating meetings with Story Collectors. This will includecoordinate bookings of rooms and face to face meetings. Continue targeted engagement work with specific seldom heard groups to ensure that they can share their experiences. Quality assure data collected and passed to the Research Analyst in a timely manner. Manage the project's mailbox and act as the first point of contact for all related enquiries Support the administration of the Patient and Carer Stories Steering Group monthly meetings and provide updates to the group. Provide Story Collectors with 1 to 1 support (as needed) and debriefs after data collection, as well as group sessions to share learnings. Coordinate activities to support the project making an impact through for example presenting reports at Directorate meetings with the support of the team Contribute to the evaluation of the project by coordinating relevant activities such as organising reflective sessions and an end of project event. Contribute to succession planning development by working together with the team toidentify routes for the project to become sustainable. Key skills and requirements: Good interpersonal skills and communications skills Ability to deal sensitively with Story Collectors, contributors, participants and their families/carers Knowledge of supporting, engaging, and managing people A commitment to co-production, joint working or partnership working The ability to plan, prioritise and organise several activities including diary management, using own initiative within a changing and demanding environment. Working with service users and carers Work directly with service users and carers to listen to their experiences of using services in an environment of their choice either face to face or online and be responsible for coordinating and booking. To maintain a community of Story Collectors who feel part of making a change in the Trust. To provide Story Collectors with 1 to 1 support (as needed) and debriefs after data collection, as well as group sessions to share learnings and offer on-going training. Undertake targeted engagement work to build relationships with community members, patients, carers and colleagues and support them to participate in sharing their experiences. Administrative duties Manage the Patient and Carer Stories Project mailbox and act as the first point of contact for all related enquiries Support the administration of the Patient and Carer Stories Steering Group meetings including taking minutes and maintaining associated records for a variety of workstreams, e.g. attendees lists, feedback and action logs To manage authorisation of timesheets and expense forms for service users and carers in line with the Involvement Register principles. Adhere to data protection and confidentiality requirements and escalate issues as appropriate. To quality assure data collected by Story Collectors is of a high standard and ensure it is passed to the Research Analyst in a timely manner. The post holder must be committed to treat service users, carers and staff with respect and dignity at all times. Having a personable manner and the ability to deal sensitively with people from diverse backgrounds is essential. While lived experience of mental health services is listed as an essential requirement in the person specification, there is flexibility on this due to the stage of the project. Personal insight into mental health service provision would be advantageous.
