Summary
About the Business:
OutThere RPO Ltd – Founded by our Managing Director in 2012. OutThere has evolved from a recruitment process management company, to an outsourcing business that fulfils all of the supporting functions that typically sits within a fully integrated HR department.
Overall Purpose of Role:
To deliver an outstanding service to all customers and continuously exceed expectations by providing Transactional HR & Recruitment support. Direct Reporting to the Managing Director. However taking daily direction and task allocation from Lead HR & Recruitment Consultants. Your overall purpose is to provide a seamless support service to both the HR and Recruitment departments within OutThere.
Key Responsibilities:
- Providing administrative support to the OutThere HR & Recruitment Divisions.
Human Resources:
- Providing 1st Line Support to ALL “Retained” and “Help Me Out” Customers. Including monitoring and internal task allocations of shared Inboxes and telephone calls
- Utilisation of template documentation
- Uploading of documents to HR software platforms (such as Breathe, HiBob, Charlie and other HRIS)
- Supporting consultants in the delivery of HR Projects against agreed timelines
Administration:
- To effectively time log each working task/activity against the appropriate client/project/campaign as directed by your line manager; using our chosen project management software platform.
- Weekly Reporting - production of “client specific” reports for task/time allocation purposes and client reviews
- Monthly/Quarterly Reporting - for client service review/retention meetings.
Recruitment:
- Attending Vacancy Briefings alongside the Recruitment Lead
- Create Candidate “Boolean” searches using effective utilisation of job boards.
- Vacancy Advertising Management
- Thorough screening & selection process as per the vacancy brief
- Advert response management within a timely manner
- Selection & rejection of candidates adhering to EDI best practice
- Maintaining recruitment sourcing software and applicant tracking systems
- Ensuring right to work documentation meets legal requirements.
- Reporting – Weekly status updates for recruitment campaign management
Key Requirements:
- Relevant and appropriate education background or on the job experience (i.e. HR Administration and/or a relevant HR Qualification such as a CIPD Level 3 or 5)
- A personal interest in HR and/or Recruitment Process management
- Excellent communication skills both spoken and written
- Ability to fully embrace and adhere to the OutThere values and behaviours.
