Summary
Job Title: Administrator Clinical Services & Reception Location: [Insert Location] Hours: 37.5 hours per week, Monday to Friday, plus one Saturday in every 8 weeks Job Summary: We are looking for an organised and proactive Administrator to join our team, providing essential administrative support across the Clinical Services Department and the Reception/Admin team. The successful candidate will play a key role in ensuring smooth daily operations, excellent patient service, and efficient communication within the departments. Key Responsibilities: Provide administrative support to the Clinical Services Department, including scheduling appointments, managing patient records, and coordinating clinic logistics. Deliver front line reception duties such as greeting patients, answering phone calls, and managing enquiries with professionalism and empathy. Handle patient registrations accurately and efficiently. Maintain and update electronic and paper filing systems in compliance with data protection and confidentiality policies. Assist with the preparation of clinical documentation, correspondence, and reports. Manage appointment bookings, cancellations, and follow-ups to maximise clinic efficiency. Undertake general office duties including stock management and ordering supplies. Support the reception team with daily administrative tasks during busy periods or staff shortages. Collaborate with clinical and administrative teams to ensure effective communication and seamless patient care. Work one Saturday in every eight weeks as part of the rota to support weekend clinic activities. Essential Skills and Qualifications: Proven experience in an administrative or receptionist role, ideally within a healthcare or clinical setting. SUS Secondary Uses Service. Strong organisational and multitasking abilities. Excellent communication and interpersonal skills, with a patient focused approach. Competent in using Microsoft Office (Word, Excel, Outlook) and comfortable with electronic patient record systems. Ability to maintain confidentiality and handle sensitive information appropriately. Reliable, flexible, and able to work effectively both independently and as part of a team. Comfortable managing a varied workload in a fast paced environment. Desirable: Experience with clinical administration and knowledge of healthcare terminology. Familiarity with appointment scheduling software and patient management systems.
