Main purpose of the job:
As a member of the University’s Academic Registry, the Academic Services Manager’s primary function is to ensure that administration of the student-related academic cycle including induction, enrolment, assessments and retention activities are managed in line with the University processes, the Academic Regulations and Quality Assurance standards. This role supports key planning activities for academic
departments and manages the interface between departments and other areas of university administration by commissioning support for from central services when needed. It is therefore essential that the role-holder can communicate effectively at all levels and between different functions and stakeholder to maintain a collaborative and professional profile.
Strong team leadership is essential with demonstrable management experience to ensure the whole team is committed to high standards of customer service to all stake-holders including students. Through a formal reporting line to the Deputy Academic Registrar (Academic Services) the role holder will keep the team up to date in relation to academic regulations and ensure administrative activities are
compliant and will be actively involved in supporting the implementation of new systems or other university wide projects.
Main duties and responsibilities:
1. To manage all aspects of administration of the taught and research student-related academic cycle for standard and collaborative programmes within departments, working with the Deputy Academic Registrar to ensure that this activity is fully co-ordinated with university processes and systems and other areas of the University administration.
2. To oversee the administrative support for programme validation and periodic reviews in the department.
3. To provide positive leadership and line management to their teams by developing and supporting administrative staff to maximise the effectiveness of professional administration in the University. Working with the Deputy Academic Registrar (Academic Services) to identify and implement improvements to the student and staff experience.
4. To ensure an excellent customer service experience through all channels of communication is provided to all stakeholders and which ensures they are referred to appropriate sources of support where required.
5. To provide management information and reports to internal and external stakeholders.
6. To support the Deans in particular, and all other staff in relation to university administration in a pro-active and timely way always emphasising the importance of customer service, including:
• Ensuring that administrative policies, procedures and systems relating to academic
programmes are implemented within academic departments.
• Managing the annual schedule of work for the student related cycle for academic
departments including induction, enrolment, attendance, assessment and retention
activities.
• Co-ordinating departmental responses to requests for information from other parts of the University.
• Supporting any other requests Deans and other stakeholders may have in relation to the provision, enhancement and development of academic administration.
• To liaise with HR Partners in relation to all employment matters, including hourly paid staff, recruitment and any other employee life cycle matters.
• To ensure operational aspects of compliance including: summaries of adjustment for disabled students, records retentions, data protection, health and safety and with any other prevailing regulatory requirements. To ensure all obligations around the university calendar, servicing of meetings, record keeping and financial management are observed and maintained.
7. To engage with university wide events such as Open Days and Graduation Ceremonies and to be an Ambassador for the University at all times.
