Summary

OVERALL PURPOSE:
To support the Energy Neighbours team in the secure collection, entry, management and reporting of the project data.
The Data Officer ensures that data is well organised, accessible and accurate to support project delivery, learning and impact reporting.
The Data and Information Officer is a key role in the project, bringing expertise and technical skills to the team, sharing these through training and guidance. They ensure there are clear and secure systems and processes to manage data risks and ensure good practice.
The projects data systems will include all details of community organisations, participants, volunteers, staff and partners and their recordings of activity, feedback and work together. Microsoft 365 will be the main platform for documents and communication.
The Energy Neighbours Data and Information Officer will work closely with the Project Manager and Project Coordinator to ensure effective data capture and reporting for the project.
ABOUT THE PROJECT:
The Energy Neighbours project has a clear community capacity-building approach. It aims to be inclusive and act to reduce inequalities and is focused on communities in fuel poverty. The approach is to work with communities, listening to local priorities, experimenting and learning together, being transparent and accountable, and sharing decision-making power. The project values ways of working such as Asset Based Community Development, Co-production, Community wealth-building and Community Organising.
Energy Neighbours helps communities to reduce their energy use, energy costs and fossil fuel use while strengthening community economies, networks and connections.
This innovative project is participating in the National Lottery Climate Action Fund learning partnership. The Project Manager will ensure full and effective sharing of learning across project partners and with other learning partners nationally.

RESPONSIBILITIES:
1. Support and partnership
To be responsible for effective and safe capture and use of data and information as part of the Energy Neighbours project.
To ensure project data is accurately entered and maintained by working with Energy Neighbours staff and appointed partners using agreed systems (e.g. Excel, SharePoint, and Monday.com)
To support Energy Neighbours staff, volunteers, and partners with day-to-day data tasks and help improve data collection tools, templates, and forms.
To help ensure that data systems support equality, diversity and inclusion work across the project.
To ensure data can be safely and securely shared with learning partners appointed by the National Lottery Climate Action Fund to learn from other projects and to share learning from Energy Neighbours.
2. Project / Contract Delivery
To support in compiling, cleaning and presenting Energy Neighbours data for use in monitoring reports and events.
To help prepare/present graphs and summaries for reports, meetings, or community updates for diverse audiences as required to meet deadlines.
To support with key contacts at Kirklees Climate Commission Ltd, and other partners or contracted services, to ensure they provide data and are able to access and use Energy Neighbours project information and data securely and effectively.
Team and Partners Support
The Energy Neighbours Information and Data Team and Partners Support will work closely with the Project Manager and Project Coordinator to help in managing the Energy Neighbours project.
To provide guidance and informal training on data systems for staff and volunteers.
To keep data collection guides and process documents up to date.
To support partner organisations with basic data-sharing processes.
3. GDPR and Compliance
To ensure Energy Neighbours staff, volunteer and contracted partners follow good practice and maintain compliance with UK GDPR in data collection, processing, sharing, management.
To raise any data security or quality concerns to the Project Manager and assist with basic internal audits to ensure compliance.

4. Collaboration and Communications
To work closely with the Project Manager and Project Coordinator to support collaborative tools and internal communications.
To support digital engagement activities by maintaining shared systems used for newsletter, public communications, and external sharing.
To support Energy Neighbours staff in evaluating the reach and engagement of digital communications.
To ensure that systems support inclusion and accessibility across the team and stakeholders.
5. General Responsibilities
To uphold the values and apply the policies, practices and procedures of TSL.
To collaborate with colleagues in TSL Kirklees on specific and organisation wide activities in order to maximise the effectiveness of the organisation.
To contribute to TSL Kirklees learning and action on equality, diversity and inclusion.
To work flexibly to meet the needs of TSL, carrying out other tasks as reasonably requested.
